About the Role: The CALIFORNIA ASSOCIATION OF REALTORS® (C.A.R.) is seeking a dynamic and detail-oriented Sales & Events Coordinator to support the Marketing Services & Sales Director in the execution of daily sales operations and event initiatives within our Communications and Marketing group. This role will collaborate closely with internal sales and marketing teams, as well as external partners and vendors, to ensure seamless coordination of campaigns, events, and client-facing experiences. This role will also contribute to the successful planning and onsite execution of events. The ideal candidate brings strong organizational and time management skills, a collaborative mindset, and the ability to manage multiple projects in a fast-paced environment with detailed follow-through.

Key Responsibilities:
Sales Support Support the Marketing Services & Sales Director with daily administrative operations and departmental support activities Schedule meetings and maintain calendars, documentation, agendas, and meeting materials Maintain department records, contracts, reports, presentations, and digital filing systems Assist with budget tracking, expense reconciliation Provide responsive customer service to C.A.R. members, vendors, and external partners Serve as a liaison between internal and external sales teams, the Communications department, and other C.A.R. departments Maintain the project management platform, ensuring accurate tracking of tasks, timelines, and team updates across users Provide cross-functional support to team members as needed to sustain operational efficiency
Event Coordination Coordinate all aspects of trade show and event operations pre-show, onsite and post-show, including shipping, inventory, setup, breakdown, booth organization, and overall logistics. Manage event calendars, move-in/move-out schedules, and operational timelines to ensure deadlines are met. Support on-site event execution, including registration, floor management, attendee engagement, and issue resolution. Collaborate with internal departments, vendors, and contractors to align event requirements and deliverables. Assist with marketing initiatives, promotions, social media content, live coverage, and distribution of materials and giveaways. Research and maintain a list of industry events, compile hotel/venue options for events. Solicit and review Request for Proposals (RFPs) from trade show vendors and provide recommendations for annual events Assist with the creation and execution of event surveys and compile event metrics, attendance reports, and survey results. Perform additional events and operational duties as assigned.
Cross-Department Coordination Coordinate with finance, marketing, membership, and other internal teams Monitor project timelines and follow up on deliverables Perform other duties and special projects as assigned Assist with email marketing campaigns and promotional outreach as needed
Key Requirements:
Experience
: 3-5 years of administrative assistant experience and/or large-scale trade show planning experience. Education
: High School diploma or the equivalent. Associate’s degree a plus. Communication
Skills
: Excellent customer service and telephone skills with the ability to communicate professionally and effectively with clients, vendors, and internal teams. Organization & Project Management:
Exceptional
level of organizational and time management skills with detailed follow-through and the ability to manage multiple priorities independently. Technical
Proficiency
: Skilled in Microsoft Office (Word, PowerPoint, Excel, Outlook). Experience is preferred in project management platforms such as ClickUp, Basecamp, Monday.com; CRM/CMS such as Salesforce; Pardot (email marketing); and website management. Familiarity with AI tools to enhance productivity, streamline workflows, and support content or data-related tasks is also preferred but not necessary. Travel
