OPPORTUNITY SUMMARY
We are seeking a highly organized and proactive Office Administrator to support the day-to-day operations of our small company. This role is essential in ensuring the office runs smoothly, efficiently, and professionally. The ideal candidate is self-directed, detail-oriented, adaptable, and comfortable handling a variety of administrative tasks.
The Office Administrator is primarily responsible for the administration of the office, including managing office systems and vendor relationships, and supporting the administrative needs of the executive team. This position works closely with internal teams and external partners to implement and maintain streamlined processes and ensure a well-supported operating environment for the company.
KEY RESPONSIBILITIES
- Manage daily office operations, including scheduling and correspondence.
- Answer and direct phone calls, emails, and other communications.
- Maintain office supplies inventory, and place orders, when needed.
- Ensure the office environment is organized and professional.
- Provide general administrative support to management and other team members.
- Coordinate, schedule and arrange meetings and company events, including sourcing, evaluating and booking appropriate venues.
- Arrange business travel and conference attendance logistics.
- Assist with basic bookkeeping tasks, such as invoicing, expense tracking and data entry.
- Responsible for full onboarding process for new employees and consultants, and assist with other human resources tasks, as needed.
- Responsible for managing organization-wide IT systems access for employees and consultants, and for the implementation and on-going compliance with company IT security procedures and best practices.
- Coordinate with external partners and consultants (e.g., IT support, benefits, payroll, human resources support, and other external vendors).
QUALIFICATIONS
EDUCATION AND WORK EXPERIENCE
- Bachelor’s degree required.
- Administrative experience, an asset.
TECHNICAL KNOWLEDGE AND SKILLS
- Microsoft Office Suite knowledge, specifically with Microsoft Excel, required.
- Experience working in Adobe Acrobat, an asset.
SKILLS AND COMPETENCIES
- Proficiency in French (oral and written).
- Exudes a high level of professionalism and discretion.
- Operates with a sense of urgency and perseverance to achieve results.
- Ability and enthusiasm to work in a cross-functional team environment.

RÉSUMÉ DU POSTE
Nous recherchons un(e) administrateur(trice) de bureau très organisé(e) et proactif(ve) pour soutenir les opérations quotidiennes de notre petite entreprise. Ce poste est essentiel pour garantir le bon fonctionnement du bureau, dans un esprit d'efficacité et de professionnalisme. Le candidat idéal est autonome, soucieux du détail, capable de s'adapter et à l'aise dans la gestion d'une grande variété de tâches administratives.
L'administrateur de bureau est principalement chargé de la gestion administrative du bureau, notamment de la gestion des systèmes bureautiques et des relations avec les fournisseurs, ainsi que du soutien aux besoins administratifs de l'équipe de direction. Le titulaire de ce poste travaille en étroite collaboration avec les équipes internes et les partenaires externes afin de mettre en œuvre et de maintenir des processus rationalisés et de garantir un environnement opérationnel bien soutenu pour l'entreprise.
PRINCIPALES RESPONSABILITÉS
- Gérer les opérations quotidiennes du bureau, notamment la planification et la correspondance.
- Répondre aux appels téléphoniques, aux courriels et aux autres communications, et les acheminer vers les destinataires appropriés.
- Gérer les stocks de fournitures de bureau et passer des commandes lorsque cela est nécessaire.
- Veiller à ce que l'environnement de travail soit organisé et professionnel.
- Fournir un soutien administratif général à la direction et aux autres membres de l'équipe.
- Coordonner, planifier et organiser les réunions et les événements d'entreprise, y compris la recherche, l'évaluation et la réservation de lieux appropriés.
- Organiser les déplacements professionnels et la logistique liée à la participation à des conférences.
- Aider aux tâches comptables de base, telles que la facturation, le suivi des dépenses et la saisie de données.

QUALIFICATIONS
FORMATION ET EXPÉRIENCE PROFESSIONNELLE
- Baccalauréat requis.
- Expérience administrative, un atout.
CONNAISSANCES ET COMPÉTENCES TECHNIQUES
- Une connaissance de la suite Microsoft Office, en particulier avec Microsoft Excel, est requise.
- Expérience de travail avec Adobe Acrobat, un atout.
