What You’ll Do in this Role
As an
Associate Project Manager , you will play a key role in keeping client work running smoothly and efficiently. You’ll partner with our Senior Project Manager and Client Strategists to coordinate deliverables, track timelines, and ensure projects move forward with clarity and accountability. This role brings structure and momentum to our work. You’ll manage task lists, prepare recaps, maintain schedules, and help internal teams stay aligned on priorities. You’ll also contribute to client success by supporting communication workflows—drafting updates, organizing notes, and ensuring deadlines are clear on both sides. Specifically, you’ll do the following in this role: Project Coordination & Task Management
Support the Senior Project Manager in coordinating projects from kickoff to completion. Maintain project timelines, task lists, and deliverable trackers in Asana. Follow up with team members to ensure tasks are completed on time. Assist with resource planning and flag bandwidth issues early. Client Communication Support
Partner with Client Strategists to prepare meeting notes, recaps, and project updates. Draft internal and client-facing status reports to keep all stakeholders informed. Help organize client feedback and ensure it is clearly tracked in project systems. Process Improvement & Team Support
Identify gaps in project workflows and recommend improvements. Support the adoption of project management best practices across the agency. Take ownership of smaller projects or workstreams under the guidance of the Senior PM. What We’re Looking For
We’re looking for a
detail-oriented, proactive, and collaborative problem solver
who thrives in a fast-paced agency environment. You don’t need to have years of project management experience, but you should be motivated by structure, accountability, and helping creative teams do their best work. You’ll succeed in this role if you have: 1–2 years of project coordination, account support, or agency experience. Strong organizational skills with the ability to manage multiple priorities. Excellent communication and interpersonal skills, with a professional client-first mindset. Comfort working with project management tools (e.g., Asana, Trello) and Google Workspace. A proactive, solution-oriented approach with strong attention to detail. Interest in financial services and/or marketing agencies (experience in either is a plus, not a must!). Working at HIFI
