We are seeking an organized and detail‑oriented Account Coordinator to support our growing client portfolio. In this role, you’ll work closely with our account‑management team to coordinate campaigns, manage timelines, track deliverables, and ensure seamless communication between internal teams and clients. You’ll handle administrative tasks, maintain project documentation, and help execute strategic PR initiatives across our dynamic roster of brands. The ideal candidate is proactive, adaptable, and thrives in a fast‑paced agency environment where every project presents new challenges and opportunities to grow. Responsibilities
Account Management
Track and distribute daily media monitoring, including competitive news and announcements, internally and externally. Participate in scheduled conference calls with clients – develop, finalize and distribute call agendas and action items 24 hours following each call; manage call invites and coordinate calendars when rescheduling is needed. Assist in the implementation of ongoing and larger account initiatives, including research of vendors and partners. Lead in the execution of client mailers and ongoing product requests, including design, fulfillment, production and distribution. Identify and track account award submissions and speaking opportunities. Develop all client reporting including weekly/monthly client reporting, coverage trackers, press clips, competitive and industry monitoring, and media briefing materials. Lead by example in all client communication ensuring all emails and documents are properly formatted with no spelling and/or grammar errors.
Public Relations Tactics
Demonstrated understanding of media landscape and proficiency in MuckRack or Cision. Own the creation of press materials, such as press releases, fact sheets, pitches and media lists. Assist in media outreach per account, securing meaningful hits for clients. Begin to build a foundation for media relationships. Participate in Media Relations programs and form relationships with key editors and publications. Assist with media events, including management of vendor logistics and research.
Influencer Tactics
Provide support for influencer programming, managing research and lead communication for assigned influencers; assist with reporting by adding metrics, screenshots, profile or content links, etc.
Social Media Tactics
Assist with a variety of social support for brand channels, including content shoot coordination, content publishing, community management; record social metrics for all active channels (Instagram, Facebook, Twitter, etc.). Gain an understanding of all social platforms.
Office Administration & Management
Establish and maintain a strong organizational system that ensures all deadlines are met and priorities are established daily, weekly, and monthly.
Work happily: ensure good work is acknowledged and mistakes are dealt with properly/respectfully; actively participate in company initiatives and meetings. People first: offer help and advice to team members (even those not on your account teams); be a positive role model within the office. Qualifications
High school diploma or equivalent; some college or relevant professional experience in media, PR, marketing and/or general administrative and customer service. Exceptional organizational and time‑management skills with strong attention to detail and ability to manage multiple tasks in a fast‑paced environment. Proficiency with Microsoft Office and Google Workspace; comfort learning new software and agency systems quickly. Experience with MuckRack and/or Cision a plus. Strong written and verbal communication skills with professional demeanor and ability to interact effectively with clients, vendors, and team members. Demonstrated ability to support teams by managing calendars, coordinating projects, tracking deliverables, and maintaining documentation. Proactive problem‑solving mindset with willingness to take ownership of administrative challenges. Benefits
