As a Business Operations Coordinator at CogentBlue, you will be the connective tissue that keeps the firm running smoothly — supporting the people, processes, and platforms that allow our advisors and client service team to operate at their best. You will coordinate across HR and culture, marketing and communications, and technology and operations, ensuring that nothing falls through and that the team has what it needs to deliver an exceptional experience to every client. This is a role for someone who thrives on variety, takes ownership without being asked, and finds genuine satisfaction in building systems that make other people's jobs easier. You will work closely with firm leadership and the MFO Client Service Manager, handling the day‑to‑day operational and administrative work that keeps the business moving — and growing into broader responsibility as the firm scales. This is a remote‑eligible position, EST preferred. RESPONSIBILITIES
Operations & Technology Support
Maintain and update firm SOPs and workflow documentation — ensure the library is current and accessible to the team Support tech implementation projects — assist with setup, testing, and rollout of new platforms and tools under the direction of firm leadership Maintain and update firm systems — manage user access, permissions, and basic system administration across CRM, communication, and operations platforms Research technology options, coordinate demos, and compile findings for leadership review Research, vet, and communicate with third‑party vendors — needs analysis, renewals, support tickets, billing questions, and follow‑ups HR & Compliance Administration
Coordinate and moderate team meetings Maintain employee files, HR documentation, and compliance records — organized, current, and audit‑ready Assist with onboarding and offboarding logistics — manage job postings, coordinate paperwork, system access, and checklists Support HRIS implementation and ongoing administration — data entry, reporting, and system maintenance Maintain documents for audits and regulatory reviews — compile and organize records as requested Coordinate payroll processing logistics with the bookkeeper and flag relevant changes Organize team building activities, firm events, and internal culture touchpoints Support the performance review cycle Marketing & Communications Support
Manage and support the implementation of marketing initiatives — email sends, social media scheduling, event coordination, and basic website updates Manage the relationship with the outsourced Marketing provider, coordinating updates to marketing materials, presentation templates, and firm collateral Track marketing metrics and compile reports for leadership review YOU'RE THE RIGHT FIT IF:

3+ years of experience as an Operations Coordinator, Office Manager, or similar support role Exceptional organizational, time management, and prioritization skills High degree of professionalism, discretion, and confidentiality Demonstrated ability to manage multiple competing priorities Strong technologyproficiency (Microsoft 365, Google Workspace, CRM systems) Familiarity with Wealthbox, ShareFile, Gusto, Docusign Experience supporting a team in a financial planning environment WHAT WE OFFER
