Role Overview: The Project Manager is responsible for driving end-to-end project execution, ensuring timelines, deliverables, data, and stakeholder coordination stay aligned across multiple concurrent initiatives. This role blends hands-on project coordination with operational rigor—owning workflows, trackers, documentation, and communication so that projects move forward smoothly without dropped details. You will act as the central execution hub, coordinating across teams, maintaining system hygiene, and proactively resolving blockers. Project Coordination & Execution — manage projects from initiation through completion across multiple workstreams; track milestones, timelines, dependencies, and deliverables; follow up on action items and ensure closure; execute pre-project and launch checklists; monitor project status daily; flag risks or blockers early; ensure smooth handoffs between phases and stakeholders; maintain clear ownership and accountability; drive projects to completion with minimal supervision. CRM & Data Management — maintain high-quality CRM hygiene in HubSpot or similar platforms; update records, pipelines, trackers, and project statuses; manage reporting documents, trackers, and dashboards; ensure data accuracy across spreadsheets and systems; clean, deduplicate, and organize records consistently; support leadership with reliable data and reporting. Stakeholder Coordination & Communication — serve as point of contact for project-related coordination; schedule meetings, manage logistics, and follow-ups; maintain professional communication with internal and external stakeholders; prepare agendas, summaries, and project documentation; coordinate vendors and external partners as needed; ensure stakeholders are aligned and informed throughout the project lifecycle. Process Documentation & Template Management — create and maintain SOPs, checklists, and project templates; build reusable decks, trackers, and documentation; QA deliverables before submission or stakeholder review; identify recurring bottlenecks and standardize solutions; maintain organized template libraries and version control; document best practices and lessons learned. Research & Administrative Support — conduct market, client, or competitive research as needed; prepare reports, briefs, and presentations; support light financial or expense tracking related to projects; assist with proposal development and background research; provide administrative support to ensure project success. Qualifications
Must-Haves (Required) Experience & Execution: 3+ years in project management, operations, or coordination roles; proven experience managing multiple projects simultaneously; strong end-to-end execution and follow-through. Organization & Systems: Exceptional attention to detail and organizational discipline; strong process-oriented mindset; ability to prevent tasks and details from slipping. Communication: Excellent written and verbal English communication; professional presence for client-facing interactions; strong coordination and follow-up skills. Technical Skills: CRM experience (HubSpot strongly preferred); advanced Google Sheets or Excel proficiency; familiarity with project management tools (Asana, Notion, ClickUp, etc.). Work Style: Proactive, independent operator; comfortable in remote, fast-moving environments; reliable EST/PST overlapping working hours. Nice-to-Haves (Preferred) 5+ years in project or operations management; experience in agencies, financial services, events, or consulting; PMP or similar certification; event operations or multi-stakeholder coordination experience; advanced HubSpot automation or reporting; Airtable, Notion database, or workflow design experience. Tools Proficiency: HubSpot advanced features and automation; Microsoft Office Suite; Airtable, Notion databases; Figma or Canva (basic deck/design work); financial tools (QuickBooks, Expensify, Bill.com); scheduling tools (Calendly, Chili Piper); Loom for SOPs and documentation.
