Job Overview

The Project Management Coordinator plays a key support role in organizing and managing digital, print, and web communications for the V Foundation's signature events.  The Project Management Coordinator provides essential administrative and project support to ensure timelines, deliverables and workflows are completed accurately, efficiently and in alignment with organizational standards.   The Project Management Coordinator will report directly to the Director, Project Management for Signature Events.

Key Responsibilities and Activities

50%     Project Management Support

  • Collaborate with the Marketing, Partnerships, Major Gifts and Grants teams to help generate event assets.
  • Assist with creative brief outlines for event materials including but not limited to warming event invitations, event experience signage, menus, etc.
  • Work with printers when needed for production of printed materials and ensure that finalized files are delivered within the set timeline.
  • Submit requests for event website updates with pre-event and post-event information.
  • Support the Director of Project Management with planning, documentation, and day-to-day administrative needs.
    Participate in project meetings, compile notes, and distribute follow-up actions.
  • Support collaboration between internal stakeholders and external vendors or partners
  • 40%     Event Image Auditing

  • Review, audit, and approve event images submitted by photographers, ensuring accuracy, quality, and alignment with brand standards.
  • Distribute approved image links to appropriate teams and partners for use in post-event press releases, social media content, and other communications.
  • 10%     Brand Development

  • Serve as a supporter of our visual brand standards to ensure the V Foundation Signature Events and our partners maintain brand integrity.
  • Participate in brainstorming and concept development for campaigns, event themes, and brand-forward initiatives.
  • Help review and route materials for brand compliance, providing feedback to internal teams and external partners.
  • Support updates to brand collateral, templates, and resource libraries to ensure they remain current and accessible.
  • Strong consideration will be given to candidates located in the preferred market areas (NC, VA, NY, NJ, and CT) due to the travel required for special events.

    Qualifications

    Required:

  • Bachelor's degree or an equivalent degree.
  • 1-3 years related experience in project management.
  • Creativity in problem solving and ability to work independently under general conditions.
  • Proficiency in decision making/problem solving, time management, applying technology, attention to detail, working within a team.
  • Ability to manage multiple projects with compressed deadlines.
  • Maintain organized files of event projects and assets.
  • Ability to remain abreast of technological advances in the field and be able to identify areas of use in the organization.
  • Strong interpersonal skills, tolerance, flexibility and cooperativeness.
  • Excellent customer service skills with emphasis on respectful and tactful communications.
  • Please note that the salary range for this position is $54,000 - $60,340.  It is uncommon for an individual to be hired at or near the top of the range for a role. Actual compensation decisions are based on a variety of factors unique to each candidate, including but not limited to, responsibilities of the position, experience, skill set, work location, internal pay equity, as well as market and business considerations.
