Position Overview
We are seeking a highly organized and detail-oriented
Executive Assistant / Office Admin
to support senior leadership within our real estate development firm. This role is ideal for a motivated professional who thrives in a fast-paced environment and takes pride in delivering exceptional administrative and operational support.
Key Responsibilities
- Manage and maintain executive calendars using Microsoft Outlook and Google Workspace, coordinating meetings, appointments, and events with precision.
- Prepare, proofread, transcribe, and format documents, reports, and presentations with a high level of accuracy and professionalism.
- Support project coordination efforts by tracking deadlines, deliverables, and follow-up items across multiple initiatives.
- Oversee daily office operations, including managing office supply inventory, organizing filing systems, and handling front desk responsibilities to ensure seamless workflow.
- Identify opportunities to streamline administrative processes and improve overall office efficiency.
- Provide comprehensive executive support, including screening calls, managing email correspondence, and handling confidential information with discretion and professionalism.
Qualifications & Experience
- Proven experience as a Personal Assistant, Executive Assistant, or Office Admin supporting senior leadership.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace (Docs, Sheets), and DocuSign.
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively under tight deadlines.
- Excellent communication skills, including professional phone etiquette and a customer-service-oriented mindset.
- Experience with planning and project coordination is highly desirable.
- High attention to detail with the ability to perform data entry accurately and efficiently.
COMPENSATION & BENEFITS
- Base Salary: $70,000-$80,000 (commensurate with experience)
- Bonus: Annual discretionary performance-based bonus
- Benefits: Full Health Insurance Coverage
