Responsibilities
- Greet visitors and manage front desk operations with professionalism and warmth
- Scan documents in appropriate folders
- Schedule according to the block system
- Route emails properly
- Verify Insurance correctly
- Know how to check PPO eligibility on the phone and online
- Entering Insurance breakdowns correctly into Archy
- Put together and present simple treatment plans (including getting patient to sign)
- Send post cards and new patient letters
- Check messages from the voice mail and the call center
- Send referrals
- Trained to answer phones according to the scripts
- Prepare the end of the day reports
- Know how to use tablets for the patients forms
- Know how to call a prescription into a pharmacy
- Keep the schedule full and productive
- Answer multi-line phone systems promptly, directing calls efficiently and courteously
- Perform data entry, filing, and document proofreading to maintain accurate records
- Support office management tasks such as organizing supplies, maintaining cleanliness, and overseeing filing systems
- Provide exceptional customer service by responding to inquiries via phone, email, or in person
Qualifications
- Prior office or clerical experience preferred but not required; strong willingness to learn is essential
- Excellent computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with keen attention to detail and accuracy in typing and data entry
- Effective phone etiquette and customer service skills; bilingual abilities are a plus for serving diverse clients
- Ability to manage multiple tasks simultaneously while maintaining professionalism and efficiency
- Familiarity with office management procedures such as filing, proofreading, and calendar coordination is advantageous
- Personal assistant or medical/dental receptionist experience is beneficial but not mandatory
- Basic knowledge of dental coding and terminology
- Customer service orientation
