Job description:

We're currently seeking a motivated, detail-oriented assistant to support daily operations and help ensure an efficient, organized workplace. The ideal candidate is not only dependable and detail-focused, but also takes initiative and someone who recognizes what needs to be done and takes it upon themselves to stay productive and keep things running smoothly without constant direction.

Schedule:

  • 8-hour shift, Monday to Friday, 9AM-5PM
  • Weekends as needed. (Very Rare)

Key Responsibilities:

  • Perform general office tasks: filing, data entry, document handling, email management, and phone support.
  • Willingness to become a notary and take on admin tasks during the Office Manager's absence/vacation.
  • Maintain and organize digital files using Dropbox and OneDrive.
  • Able to use/create excel spreadsheets and navigate through formulas.
  • Create social media content as needed.
  • Prepare safety binders for job sites.
  • Gather necessary start-up documentation for contractors with information needed.
  • Perform audits on employee vehicle GPS activity.
  • Conduct routine property checks at the storage facility and process customer transactions.
  • Use our storage program to gather documentation from storage customers such as driver's license, insurance, registration, forms, etc.
  • Inform and assist storage customers with our services we offer.
  • Fill propane for customers as needed. (Proper training will come with this)
  • Cleaning and light maintenance as needed.
  • Run company errands.

Qualifications:

  • **MUST LIKE DOGS**
  • 2–3 years of experience in an administrative or assistant role.
  • Proficient in Microsoft 365 (especially Excel), Dropbox, QuickBooks, OneDrive.
  • Able to recognize tasks that need to be done and take initiative without needing direction.
  • Must be punctual.
  • Must be professional yet personable and have a great work ethic.
  • Must be able to type 60 WPM with little to no spelling errors.
  • Must know how to communicate over the phone and send emails with proper work vocabulary and friendliness.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask and prioritize independently.
  • Familiarity with electrical materials (fire alarms, lighting fixtures, etc.) is only a plus and not required.
