Position Summary

The Part-Time Office Manager / Payroll & Administrative Assistant is responsible for keeping our 13-person office running smoothly while managing key financial and administrative processes on a part-time basis. This role handles day-to-day office coordination, payroll, basic accounting tasks in QuickBooks (AR/AP and reconciliations), and general administrative support for leadership. We're a small team, so this is a very hands-on position. The ideal candidate is detail-oriented, highly organized, comfortable with numbers, and willing to "own" the office environment—from financial tasks and scorecards to supplies, cleanliness, vehicles, and company treats. This is a part-time, hybrid position (15–25 hours per week) with flexible scheduling. We are open to working with the right candidate to set a consistent schedule that fits both their availability and the needs of the business (for example, a mix of mornings, afternoons, or specific days of the week).

Key Responsibilities

1. Payroll & HR Administration
· Process payroll in QuickBooks (or current payroll system) accurately and on time
· Maintain employee records and ensure confidentiality of payroll and HR information
· Track time, PTO, and other employee-related data as needed
· Assist with onboarding/offboarding paperwork and basic HR documentation

2. Accounting & Bookkeeping Support
· Assist with accounts payable and accounts receivable in QuickBooks
· Enter and categorize transactions; help keep books organized and up to date
· Support reconciliations and basic accounting cleanup as needed
· Help prepare information for the accountant, including year-end items (e.g., W-2 support, 1099 details, etc.)

3. Office Management
· Keep the office organized, tidy, and well-stocked (supplies, snacks, drinks, etc.)
· Coordinate vendor services as needed (cleaning, maintenance, deliveries)
· Help maintain shared spaces (kitchen, conference areas, reception)
· Oversee office equipment and supplies, including ordering and inventory

4. Administrative Support
· Provide administrative support to leadership (scheduling, document prep, follow-ups)
· Assist with creating and updating scorecards, reports, and simple spreadsheets
· Help with filing (digital and physical), scanning, and document organization
· Answer phones, greet visitors, and manage basic correspondence as needed

5. Vehicles & Miscellaneous Tasks
· Help coordinate basic vehicle maintenance scheduling and tracking
· Keep records of vehicle usage, mileage, and service (as applicable)
· Pitch in on general team support tasks and special projects as assigned

Qualifications
· Experience with office administration and/or bookkeeping required
· Familiarity with QuickBooks (Online or Desktop) strongly preferred
· Basic understanding of payroll processing and HR-related tasks a plus
· Strong attention to detail and accuracy, especially with numbers
· Excellent organization and time-management skills
· Comfortable working both independently and as part of a small team
· Proficient with basic computer tools (email, spreadsheets, word processing)

Work Schedule & Location

· Part-time: Approximately 15–25 hours per week
· Flexible hours: Schedule can be arranged to fit mutual needs (e.g., specific days, a blend of mornings/afternoons, etc.)
· Hybrid: Combination of in-office and remote work, with certain tasks requiring on-site presence

Physical Requirements

While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Pay: $ $30.00 per hour

Expected hours: 15.0 – 25.0 per week
