SIP Oasis is a leading Managed IT and Cybersecurity firm that helps professional service firms stay secure and compliant. We're looking for a highly organized, detail-oriented Executive Assistant to support our President/CEO. The right person will thrive in a fast-paced environment, anticipate needs before they arise, and ensure that no task, deadline, or follow-up slips through the cracks.
Key Responsibilities
- Manage and organize the CEO's calendar, appointments, and travel logistics.
- Prepare materials for meetings, presentations, and sales calls—ensuring all paperwork, proposals, and follow-ups are complete and accurate.
- Track action items and deadlines from meetings, following up with internal team members and clients as needed.
- Handle administrative tasks such as document formatting, CRM data entry, contract preparation, and electronic filing.
- Support client acquisition efforts by coordinating introductory calls, maintaining prospect information, and ensuring timely responses.
- Serve as a communication bridge between the CEO and internal staff to maintain momentum on key priorities.
- Uphold confidentiality, professionalism, and a proactive approach to anticipating needs.
Qualifications
- 3+ years of experience supporting senior executives or high-performing sales leaders (required).
- Exceptional attention to detail and accuracy—someone who double-checks his/her work and notices what others miss.
- Strong organizational and time-management skills with the ability to prioritize and juggle multiple projects.
- Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams) and CRM systems.
- Excellent written and verbal communication skills.
- Experience in a fast-paced, service-oriented environment—preferably in IT, professional services, or sales support.
