The Role
This is a hybrid position that blends project coordination, financial oversight, and administrative leadership. You'll work directly with our Business Manager as a true partner, collaborating daily to strengthen operations, elevate client experience, and help drive the company forward.

What You'll Take Ownership Of: Project Coordination (Your Core Focus)
Act as the organizational backbone behind IT and cybersecurity project delivery:
- Build and maintain project plans, timelines, and milestone tracking
- Coordinate teams, vendors, and client communication
- Ensure projects stay on schedule and aligned with scope
- Identify bottlenecks early and help remove obstacles
- Keep leadership informed with progress summaries and project insights
You are the steady hand that keeps the moving pieces moving.
Operational & Administrative Leadership
You're the consistency that keeps the business running smoothly:
- Maintain accurate client documentation and organized internal systems
- Support process development and SOP updates
- Schedule meetings, coordinate follow-ups, and assist with communications
- Prepare reports, decks, summaries, and internal documentation
This is where your detail-oriented mindset and love for structure shine.
Financial & Quote Management
You'll play a key role in keeping projects profitable and spending in check:
- Build and prepare client quotes
- Send invoices and track client payments
- Process vendor bills and reconcile costs
- Track spending across projects and flag risks early
- Manage purchasing, order tracking, and asset coordination
Your financial awareness directly contributes to smarter decisions and healthier margins.
Who You'll Work With
You report directly to the Business Manager, working as their right-hand partner. Together, you'll:
- Strengthen day-to-day operations
- Improve project workflows
- Ensure financial accuracy
- Support strategic initiatives
- Help shape the systems that will scale the company
This is a collaborative role where your voice and ideas matter.
Who Thrives Here
Someone who:
- Has 2–4 years of experience in project coordination, admin, operations, or similar
- Loves organizing complex workflows
- Communicates clearly and confidently
- Enjoys working closely with leadership
- Has strong attention to detail, especially around financial tracking
- Learns new platforms quickly (Microsoft 365 proficiency is a plus)
- Brings initiative, ownership, and a growth mindset
Bonus: experience in IT, MSP, MSSP, or project scheduling.
