Overview
We are seeking a professional and organised Receptionist/Administrative Assistant to join our team. This role is vital in ensuring the smooth operation of our office by providing exceptional front-desk support and administrative assistance. The ideal candidate will possess strong communication skills, be highly efficient, and comfortable managing multiple tasks in a fast-paced environment. This position offers an excellent opportunity for individuals with office experience to utilise and develop their administrative skills within a supportive team. French speaking is a must.
Duties
- Greet visitors and clients in a courteous and professional manner, ensuring a positive first impression.
- Manage incoming calls using proper phone etiquette, directing enquiries appropriately and taking accurate messages.
- Maintain and update appointment schedules, ensuring timely reminders and follow-ups.
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as required.
- Handle correspondence via email, post, and other communication channels efficiently.
- Organise files, documents, and office supplies to ensure an organised workspace.
- Assist with billing, invoicing, and basic bookkeeping tasks using QuickBooks.
- Support other administrative functions such as photocopying, scanning, and filing documents.
- Ensure the reception area remains tidy and welcoming at all times.
- Be on time and present for the hours allocated to you.
Skills
- Proven office experience or administrative experience demonstrating organisational ability.
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Excellent phone etiquette with the ability to communicate clearly and professionally.
- Organisational skills with the ability to prioritise tasks effectively in a busy environment.
- Typing speed of at least 40 words per minute with high accuracy.
- Experience with data entry and clerical duties ensuring attention to detail.
- Familiarity with QuickBooks or similar accounting software is desirable but not essential.
- Ability to work independently as well as part of a team in a professional manner. This role is ideal for motivated individuals seeking to contribute to a dynamic office environment while enhancing their administrative expertise.

Pay: $ $25.00 per hour
