Overview
We are seeking a professional and organised Receptionist/Administrative Assistant to join our team. This role is vital in ensuring the smooth operation of our office by providing exceptional front-desk support and administrative assistance. The ideal candidate will possess strong communication skills, be highly efficient, and comfortable managing multiple tasks in a fast-paced environment. This position offers an excellent opportunity for individuals with office experience to utilise and develop their administrative skills within a supportive team. French speaking is a must.

Duties

  • Greet visitors and clients in a courteous and professional manner, ensuring a positive first impression.
  • Manage incoming calls using proper phone etiquette, directing enquiries appropriately and taking accurate messages.
  • Maintain and update appointment schedules, ensuring timely reminders and follow-ups.
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as required.
  • Handle correspondence via email, post, and other communication channels efficiently.
  • Organise files, documents, and office supplies to ensure an organised workspace.
  • Assist with billing, invoicing, and basic bookkeeping tasks using QuickBooks.
  • Support other administrative functions such as photocopying, scanning, and filing documents.
  • Ensure the reception area remains tidy and welcoming at all times.
  • Be on time and present for the hours allocated to you.

Skills

  • Proven office experience or administrative experience demonstrating organisational ability.
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent phone etiquette with the ability to communicate clearly and professionally.
  • Organisational skills with the ability to prioritise tasks effectively in a busy environment.
  • Typing speed of at least 40 words per minute with high accuracy.
  • Experience with data entry and clerical duties ensuring attention to detail.
  • Familiarity with QuickBooks or similar accounting software is desirable but not essential.
  • Ability to work independently as well as part of a team in a professional manner. This role is ideal for motivated individuals seeking to contribute to a dynamic office environment while enhancing their administrative expertise.

Job Type: Part-time

Pay: $ $25.00 per hour

Expected hours: 16 per week
