Position Summary The Sales & Business Administration Specialist plays a critical cross-functional role supporting the commercial organization by driving operational efficiency across sales, marketing, and field activities. This individual is responsible for navigating and securing hospital approvals and credentialing, producing actionable sales reporting for leadership and field representatives, coordinating logistics for laboratories and conferences at the national, regional, and local levels, and executing day-to-day marketing functions including website updates, collateral development, and inventory management. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where they serve as a connective hub between the field sales team, marketing, and external partners.
Key Responsibilities Hospital Approvals & Credentialing Manage end-to-end hospital approval processes, including value analysis committee (VAC) submissions, new product introduction packets, and vendor credentialing requirements.
Serve as the primary liaison between sales representatives and hospital purchasing, supply chain, and contracting departments to expedite product onboarding.
Maintain organized records of approval status, contract terms, and required documentation across target accounts.
Track submission timelines and proactively follow up with stakeholders to remove barriers and accelerate facility access.
Sales Reporting & Analytics Develop, produce, and distribute recurring sales reports (daily, weekly, monthly, and quarterly) to sales management and the field sales team.
Translate raw sales data into clear, actionable dashboards and summaries that highlight performance trends, territory results, and opportunities.
Build ad-hoc reports and analyses to support business reviews, forecasting, and strategic planning initiatives.
Partner with sales leadership to ensure reporting tools and KPIs evolve with business needs, and maintain data accuracy across CRM and reporting platforms.
Event & Conference Logistics Plan and coordinate logistics for national, regional, and local labs, training events, and trade conferences, including venue selection, vendor contracts, shipping, on-site setup, and travel arrangements.
Manage event budgets, registrations, attendee lists, and post-event reporting to evaluate ROI and inform future planning.
Coordinate with internal stakeholders (sales, marketing, training, R&D) and external partners (KOLs, faculty, vendors) to ensure events run smoothly.
Oversee booth setup, promotional materials, giveaways, and signage for tradeshows and conferences, ensuring brand consistency and compliance.
Marketing & Brand Support Maintain and update the company website with current product information, news, event listings, and resource materials in coordination with marketing leadership.
Assist in the development, proofing, and production of marketing collateral including brochures, flyers, presentations, digital assets, and customer-facing materials.
Manage inventory of marketing materials and promotional items; coordinate ordering, fulfillment, and distribution to the field sales team.
Support broader marketing initiatives including email campaigns, social media content, and customer communications as needed.
