Job Description Holton Wise sells 400+ properties per year. The main role of the transaction coordinator is to assist the Real Estate Broker in closing these transactions. The Coordinator will manage documents that need to be signed, ensuring they are correctly filled out, signed, and filed. Additional duties include:
Meeting, greeting, and assisting clients who need documents signed.
Ensuring commission amounts received from title companies match the Real Estate Sales Contract.
Answering, screening, and transferring incoming phone calls, gathering basic information before transfer.
Taking and distributing messages for clients, buyers, sellers, title companies, lenders, tenants, utility companies, and other vendors.
Making outbound calls and emails to clients, buyers, sellers, title companies, lenders, tenants, utility companies, and vendors.
Acting as a gatekeeper, filtering important calls for transfer versus providing basic company information, deterring solicitation, sales, and marketing calls.
Receiving, sorting, and forwarding incoming mail.
Preparing and mailing direct marketing materials to potential clients, ensuring daily pickup and distribution.
Coordinating inspections, appraisals, and property showings.
Relaying information and updates to the Real Estate Broker on all pending transactions.
Assisting with ordering, receiving, stocking, and distributing office supplies.
Supporting the Real Estate Broker's roster of Realtors in filing and closing their transactions.
Performing other related office duties such as photocopying, light cleaning, making coffee, emailing, stuffing marketing materials, and filing.
Qualifications
Detail-oriented.
High school diploma or equivalent.
Customer service experience is a must.
Exceptional written and oral communications skills.
Calm demeanor, especially during high pressure situations.
Fluent in Microsoft Office applications and office equipment, including Word and Excel.
Proactive and resourceful, able to work with minimal supervision.
Non-smoker.
Flex time available; applicant must be able to work 35-40 hours per week and be available between 11 am–5 pm Monday through Friday.
Compensation Pay $15 per hour.
There are no health benefits for this position.
