Position Overview
The Business Operations Manager is responsible for ensuring the smooth daily operation of Metro Cellars by overseeing inventory, systems, purchasing, compliance, logistics, warehouse coordination, and sales support. This role serves as the connection point between suppliers, sales, warehouse partners, and management.
Key Responsibilities
Product & Systems Management
ALL Maintain product descriptions, vintages, pricing, availability, and supplier information across QuickBooks, Vinosmith, Odoo, and related systems.
Ensure system accuracy and consistency across accounting, sales, and warehouse platforms.
Inventory Management & Purchasing
Manage inventory levels, purchasing needs, supplier orders, and replenishment planning.
Review inventory movement, support purchasing decisions, and resolve discrepancies.
Support margin awareness, inventory turns, vintage transitions, and product availability.
Warehouse Operations Management
Serve as the primary interface with Metro Cellars' warehouse operations team.
Ensure orders are fulfilled accurately and minimize product cuts.
Confirm deliveries, resolve fulfillment issues, and communicate operational priorities.
Reconcile system inventory with actual warehouse inventory.
Research and resolve inventory discrepancies, receiving issues, shortages, and damages.
Logistics & Supplier Coordination
Coordinate product transportation from suppliers to warehouse partners.
Track inbound shipments and ensure products are received and available for sale.
Support supplier communication, allocations, samples, pricing updates, and operational needs.
Compliance & Administration
Prepare and submit Virginia ABC monthly excise tax reporting.
Support label compliance and required documentation.
Maintain organized operational procedures and records.
Sales Support & Customer Experience
Provide timely support to the sales team regarding inventory, pricing, orders, and customer needs.
Support customer onboarding, delivery coordination, and issue resolution.
Help protect customer relationships through strong operational execution.
Process Improvement & Business Support
Identify opportunities to improve workflows and create scalable processes.
Develop and document standard operating procedures.
Provide operational insight to support company growth.
Ideal Candidate

Comfortable working across multiple systems and priorities.
Able to identify problems, create solutions, and improve processes.
Wine, distribution, logistics, inventory, or small business experience preferred.
