Location: Wilmington, MA (Onsite, Full-time)

Shift: Monday Friday, 8:00 AM 4:00 PM

Position Overview

We're seeking a Facilities Specialist to support the daily operations, maintenance, safety, and security of our headquarters facility in Wilmington, MA. This position plays a critical role in ensuring the workplace remains safe, functional, compliant, and efficient for employees, visitors, and contractors. The Facilities Specialist will coordinate building operations, manage vendors and service providers, oversee maintenance activities, support office space planning initiatives, and assist with facility-related projects. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities
  • Support the day-to-day operation and maintenance of the Wilmington headquarters facility.
  • Coordinate preventative maintenance programs for building systems, equipment, and infrastructure.
  • Monitor facility conditions and identify opportunities for repairs, improvements, and operational efficiencies.
  • Partner with vendors, contractors, and service providers to ensure quality work, timely completion, and compliance with service agreements.
  • Assist with the management of custodial, groundskeeping, and maintenance services.
  • Support office moves, seating assignments, space planning, and workplace reconfigurations.
  • Coordinate facility improvement projects, renovations, installations, and other workplace initiatives.
  • Maintain facility documentation, reports, work orders, and operational records.
  • Assist with procurement activities related to facility supplies, equipment, and services.
  • Support workplace safety initiatives and help ensure compliance with applicable health, safety, and environmental regulations.
  • Monitor building security measures and assist in maintaining a safe and secure environment.
  • Respond to facility issues and escalate concerns as needed to minimize operational disruptions.
  • Participate in emergency response activities and provide after-hours support during critical incidents, severe weather events, or power outages when necessary.
Required Qualifications
  • Previous experience in facilities management, building operations, property management, or a related field.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Experience coordinating vendors, contractors, and service providers.
  • Working knowledge of facility maintenance practices, workplace safety standards, and building operations.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaborate effectively with cross-functional teams.
  • Proficiency with Microsoft Office applications and basic administrative systems.
  • Strong attention to detail and commitment to maintaining high operational standards.
Preferred Qualifications
  • Experience supporting corporate office environments or large facilities.
  • Project coordination or project management experience.
  • Knowledge of workplace safety, environmental, or facilities compliance requirements.
  • Experience with office space planning and workplace services.
Physical Requirements
  • Ability to lift and move up to 50 pounds.
  • Ability to walk throughout the facility and access various work areas.
  • Ability to perform occasional bending, reaching, climbing stairs, and standing for extended periods.
