Position Summary
The EHR/IT Applications Trainer is responsible for the training, implementation support, and ongoing optimization of enterprise-level healthcare software applications, primarily the Electronic Health Record (EHR) and Electronic Practice Management (EPM) systems. This position serves as a key liaison between clinical/administrative end users and IT, ensuring smooth onboarding, training, and support for all EHR-related functionality. In addition to training responsibilities, this role includes duties commonly assigned to an application support specialist or system analyst—such as building and maintaining training environments, validating workflows against live system builds, and participating in the design and testing of new workflows and configurations. The trainer must have a working knowledge of how to use the EHR and be familiar with its functionalities to guide users through optimized workflows and resolve system-related issues in collaboration with informatics and technical teams.
Required Qualifications
Bachelors degree in an academic or scientific field related to Information/ Systems Management or Technology, or the equivalent in training and experience.
Minimum of one (1) year work experience in Electronic Health Records systems and training of providers and clinical staff support in these systems and other clinical support functions.
Fluency in additional languages preferred.
Experience working with Federally Qualified Health Centers (FQHCs) and their specific patient populations is preferred.
Demonstrate leadership skills and be able to work collaboratively with others in a team environment, respecting and valuing the perspectives and experiences of others.
Strong customer service, project management skills, or consulting experience.
Knowledge of applicable data privacy practices and laws.
Initiate and complete work without direct supervision. Requires the ability to work effectively under pressure.
Experience working with diverse communities in a non-profit or healthcare setting.
Sensitivity to the needs of culturally and linguistically diverse patients and employee population.
Demonstrated ability to analyze functional and technical requirements and translate these into valid solutions; Knowledge of primary care clinic workflow and/or other healthcare experience is a plus.
Ability to communicate clearly in order to facilitate the understanding of issues involving technical matters to persons not well-versed in technology and information systems. Excellent written and verbal communication skills required.
Communicate clearly and concisely, both verbally and in writing and demonstrate a high level of listening skills.
Skilled in Microsoft, including Word, Excel, PowerPoint, and Outlook.
Ability to tailor ones teaching style to the individuals in the room.
Ability to be adaptable and resilient in a rapidly changing, innovative work environment.
Ability to champion the adoption of new workflows related to technology applications applicable to the organization.
Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
Assist and support the Center/Department/Program to meet standards of High Reliability.
Essential Responsibilities and Duties
Manages the delivery of training in both formal (e.g., classroom), and informal (e.g. in clinic) settings.
Coordinates with the training team and the IT Training and Development manager to effectively schedule and train new clinical/administrative staff on her and IT applications.
Conducts train-the-trainer sessions on the EHR and other acquired/updated software.
Provides Help Desk technical support to end-users based on assigned tickets and telephone calls.
Reviews and assists in the development of training documentation and ensuring this documentation is easily accessible to all end-users of the organization.
Works to disseminate information vital to user functionality in a manner that is easy to absorb, in layperson terms.
Promotes the importance of proper use of applications with an emphasis on optimum workflow.
Develops FAQs on relevant applications based on user feedback.
Actively participates in team-based planning for the Information Technology group, providing timely and relevant feedback on EHR/EPM and applications usage to inform future rollouts and implementations.
Attends meetings and trainings as assigned.
Provides post-production support for end users, including reinforcement work sessions, departmental rounding, and on-the-job refresher in-services.
Participates in application testing, simulations, and go-live activities, including production support of new projects or production enhancements.
Participates in on-site support after system implementation, application enhancements, and system upgrades.
Presents on implementation and training of EHR/EPM and other relevant IT applications to various workgroups, both internal and external.
Coordinates with technical staff to troubleshoot and resolve issue tickets reported by users. Communicates resolution to end users.
Provides consultative services to clinical users.
Creates and maintains training environments, including mock patient records, scenarios, and test scripts.
Participates in system design reviews to assess training implications and contributes to workflow testing and validation.
Collaborates with operational and technical teams to align training with real-time system configuration.
Supports system users by resolving EHR-related issues and escalating complex problems as needed.
Provides structured feedback to the informatics team based on end-user experience.
Participates in go-live planning, command center support, and ticket triage during system changes or deployments.
Ensures accurate documentation of training completion to support compliance and readiness for audits.
Maintains training and knowledge base repositories in accessible formats for learner reference.
Familiarity with the functionalities of the Electronic Health Record system; includes understanding clinical and administrative workflows, user navigation, documentation tools, and order entry, as well as having the ability to guide users through these functions effectively.
Maintains confidentiality regarding privileged proprietary, administrative, technical and clinical information according to HIPAA and quality of care standards; ensure system security to meet data confidentiality requirements.
