Senior Administrator, Business Support, Cork (Tivoli) The Senior Administrator provides comprehensive administrative and operational support to the Service Delivery Manager and People Operations Manager at Tivoli Depot in Cork, ensuring the efficient, safe and effective running of road passenger services.

By ensuring that key administrative processes are completed accurately and within required timelines, the post holder contributes directly to the smooth functioning of depot operations and the delivery of reliable public transport services.
This role contributes to the maintenance of financial, procurement and operational systems, while ensuring compliance with company policies, regulatory requirements and agreed procedures.
Working closely with depot, regional and multi-site teams, the Senior Administrator helps to ensure consistency of processes across locations and supports effective communication and coordination within a multi-depot environment.
Through attention to detail, strong organisational capability, and a customer-focused approach, the role plays an important part in supporting performance targets, contractual obligations and continuous service improvement across the South Region.
KEY RESPONSIBILITIES: Support the administration and day-to-day operational oversight of road passenger services at Tivoli Depot.
Administer the Collision Management System, including the processing and maintenance of collision and incident report documentation.
Manage CCTV download requests and ensure compliance with Bus ireann policies and data protection requirements.
Provide support and cover for garage administration systems, processes, procedures and payroll activities as required.
Process Goods and Service Receipts through the SAP system for Tivoli Operations.
Provide SAP administrative support and cover across the South Region when required.
Assist with revenue collection procedures, including cash processing and pay-in machine administration at Tivoli Depot.
Monitor depot operating accounts and budgets to ensure compliance with procurement and financial governance requirements.
Maintain accurate operational and administrative records and produce reports as required.
Develop and maintain effective working relationships with depot, regional and operational stakeholders.
Support the delivery of an efficient administrative function through the implementation and maintenance of effective procedures and practices.
Complete assigned reports, projects and administrative tasks accurately and within agreed deadlines.
Undertake any other duties as required by the Tivoli and Cork Management Team.
KEY SKILLS & KNOWLEDGE: Excellent administrative and organisational skills with a proven ability to manage multiple priorities, maintain accuracy and deliver high-quality work within strict deadlines in a fast-paced operational environment.
Strong proficiency in Microsoft Office Suite, particularly Word and Excel, with experience in document preparation, data management, reporting, analysis and maintaining accurate operational and administrative records.
Experience using SAP or comparable business systems to support financial administration, procurement, Goods and Service Receipt processing, payroll administration and operational reporting, with the ability to quickly become proficient in Bus ireann systems, including Core and Microbus.
Strong knowledge of financial administration, procurement processes, revenue collection, cash handling procedures, payroll support and financial governance, ensuring compliance with company policies and regulatory requirements.
Experience supporting operational reporting, including the preparation of KPI reports, incident documentation, performance data and management reports to support informed decisionmaking and continuous service improvement.
Sound understanding of Safety, Health and Welfare at Work legislation, with the ability to support safety management systems, incident and collision reporting, risk awareness and maintaining compliance with organisational health and safety standards.
Knowledge of energy compliance requirements and the ability to support energy performance monitoring, environmental initiatives and sustainable operational practices in line with organisational objectives.
Strong understanding of governance, data protection and compliance requirements, with the ability to manage sensitive information, CCTV requests, operational records and confidential documentation with integrity and discretion.
Ability to interpret and apply company policies, operational procedures, staff agreements and regulatory requirements while maintaining consistency across multi-site and regional operations.
Excellent communication, interpersonal and stakeholder management skills, with the ability to build productive working relationships across depot, regional and operational teams while delivering a professional, customer-focused service.
Proven ability to work independently, use initiative, solve problems effectively and support continuous improvement initiatives that enhance operational efficiency, service delivery, safety performance and compliance.
