Associate Division Administrator
Under supervision and direction of the Division Administrator(s), assists with departmental operations and financial analysis. The Associate Division Administrator (ADA) works closely with the Division Administrator(s) to help facilitate administrative and operational requests, planning, marketing, and research. Assists with budget preparation, forecasting, proformas, payroll, accounting functions, and database management.
Qualifications
- Bachelor's Degree in Business, Health Care Administration or a related field required.
- High school diploma required.
Preferred/Required Experience
- Three years of progressive experience in a setting where working knowledge of accounting, financial and business operations is required.
- Previous experience in healthcare is strongly preferred.
Essential Functions
- Researches, coordinates, prepares, and generates reports as assigned; i.e. monthly variance analysis, charge audits, dashboards, revenue reconciliations, and budget preparation etc.
- Administers and supports management reporting by maintaining databases and tracking/trending for Accounts Receivable, Accounts Payable, Payroll, Charges, Payments, Schedules, RVUs, Staffing, Residency, Research and Grants, and MIHS contractual FTE requirements by service line.
- Assists in identifying and proposing resolution of operational and/or budgetary issues.
- Communicates effectively with Division Administrator(s), Chairmen, Provider Staff, and Executive Leadership to ensure responsiveness and information exchange.
- Under the supervision of the Division Administrator(s), assists with preparing and monitoring the semi-annual operating budget.
- Provides support to Division Administrators including new hire, status change and termination processing in DMG HR and Payroll systems.
- Responsible for submission of accurate and timely payroll information and reconciliation of PTO/PST/CME.
- Performs administrative duties contributing to the efficiency and preservation of the financial, operations, and business goals of the organization.
- Continuously monitors divisional operations and programs; recommends changes to Division Administrator(s) as appropriate.
- Participates in the monitoring and enforcement of organizational policies.
- Serves as a resource for administrative issues concerning human resources, credentialing, contract compliance, and accounting.
- Is available as a resource to ensure timely response to operational issues that impede provider or others' access to necessary work resources.
- Other duties as assigned.
- Ability to type a minimum of 40 wpm.
- Excellent communication, writing, and organizational skills.
- Proficient PC Skills including MS Word, Excel, PowerPoint and Outlook.
- Ability to maintain effective working relationships with Executive Leadership, management, including internal and external staff.
- Ability to work under pressure, communicate and present information objectively.
- Ability to exercise appropriate judgment, problem solving, critical thinking, and attentiveness to detail.
- Ability to establish priorities and effective time management. Must have a strong work ethic and leadership abilities. Must possess analytical skills sufficient to organize and prepare comprehensive reports.
- Ability to work independently and as part of a team.
- Maintain a valid Driver's License and motor vehicle record in good standing
- Maintain vehicle insurance coverage in accordance with the state minimum required limits
- Exhibit computer proficiency in Microsoft Office Suite (Ex: Word, Excel, and Outlook)
- Uphold and maintain confidentiality, in accordance with federal and state law, company policy, and the role being performed.
- Understanding of and maintaining compliance with HIPAA laws and regulations.
- Maintain compliance with DMG policies and procedures.
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards.
