Condominium Property Manager

Responsible for all aspects of operations and facilities management of the condominium property, including all forms of communications, human resources/personnel management, financial management, facilities/maintenance management and project management to provide the highest quality and standards of a modern luxury high-rise condominium in Downtown Honolulu.

Specific responsibilities include:

  • Leading a high-performing team through effective recruitment by engaging in marketplace for local recruiting; coaching, mentoring and developing all team members, hosting property team huddle at least once a week and holding one-on-one conversations to solicit feedback from the team; and displaying integrity by ensuring processes, procedures and practices affecting the team are completed in a timely manner.
  • Developing standards/specifications and continually evaluating service needs and performance in all areas of maintenance and management.
  • Demonstrating a positive, professional and respectful attitude that encourages staff to work in a professional manner and comply with company's safety standards, while motivating the staff to work as a team and provide excellent customer service.
  • Demonstrating a positive, professional and client-oriented attitude about the company with coworkers, residents, owners, clients; whether contact is by mail, telephone or in person.
  • Demonstrating critical-thinking by understanding the needs of the owner, residents and employees; constantly striving for improvements in work process and results, yet ensuring decision-making is in the best interest of all stakeholders.
  • Assisting the board of directors' decision-making process by means of providing information gathering and fact-finding support; implementing the board's decisions; and administering the services, programs and operations of the community within the policies and guidelines set by the board. Clear cohesive communication with Association Manager and Board President.
  • Collaborating with the Managing Agent and Board to identify and address needed capital improvements. Ensuring three bid process is followed and project contract terms are met. Proactively scheduling capital projects for completion in months in which they are budgeted.
  • Partnering with the Operations Manager to schedule and oversee contract service work-product and professionalism, ensuring execution of projects by providing timely direction and communication to vendors/contractors.
  • Demonstrating sound financial acumen by adhering to budgets and accurate preparation of monthly Manager's Report. Providing support to Managing Agent in preparation of annual budgets, monthly variance reports and other administrative/financial reports.
  • Ensuring all life safety equipment is operable and that elevator(s) preventative maintenance agreement is adhered to.
  • Maintaining accurate records of community activities such as, Incident Reports, Citation Reports, Resident Modifications, move in/outs; maintaining resident files and accuracy of administrative paperwork.
  • Maintaining the official records as outlined in Hawaii Revised Statute 514b. Acquiring and maintaining current knowledge of state and regulatory agency statutes and community documents, policies, and procedures.
  • Assisting in developing a body of leadership through committees and providing the necessary administrative tools to the board to enable them to make decisions in accordance with the community's directives.
  • Attending all board and committee meetings, offering management reports and advice on the physical plant and administration of the community. Keeping records and minutes of board and committee meetings.
  • Notifying Managing Agent of all unusual events, circumstances, or other safety or quality control issues.
  • Approving and properly coding all invoices, submitting invoices with appropriate documentation to Associa Management's Accounts Payable Department, verifying accuracy of invoice for payment to vendors timely.
  • Representing Association in a professional and positive manner at all times. Maintaining and enhancing Association image when interacting with clients, guests, associates, and vendors.
  • Maintaining consistent and timely attendance, setting an example for their team in punctuality. On call for emergency response 24 hours per day, 7 days per week. Overseeing attendance concerns for all team members and monitoring integrity of timesheets in payroll processing system.
  • Performing other job-related duties as assigned.
Requirements

Skill and knowledge requirements include:

  • Bachelor's degree required; hospitality, business, management or related field, highly desirable.
  • Minimum of 3 year of experience as a General Manager of a high-rise luxury condominium building or 5 years management experience in the Property Management, Hospitality, or related industries.
  • Minimum of 3 years of experience in leading a team of 10 to 25 employees.
  • Industry certification or designation, desirable.
  • Ability to work a flexible schedule; any day of the week, including being on-call.
  • Ability to write and communicate professionally in English.
  • Ability to apply critical thinking and sound decision-making.
  • Ability to resolve resident's concerns while maintaining a friendly and professional demeanor.
  • Ability to demonstrate project management skills to ensure tasks are completed on schedule.
  • Ability to communicate professionally and adapt interpersonal skills to a variety of audiences.
  • Ability to demonstrate teamwork by assisting the Board, Managing Agent and direct reports.
  • Ability to provide coaching to direct reports to develop their knowledge and skillset.
  • Ability to effectively convey ideas and influence the opinions of others.
  • Ability to demonstrate computer literacy using Microsoft Office and other software.

Physical and mental requirements include:

  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the property.
  • Ability to stand and climb steps regularly.
  • Reading and writing work-related documents in English, reviewing financial reports and understanding basic accounting.
  • Constantly communicates and receives verbal communication with others in fast-paced environment.
  • Physical presence in and around the community is essential to perform job duties.
