Calendar manager for the division and primary admin point of contact: Maintain calendars and process administrative requests for 20 Critical Care attending physicians and other roles. Manage faculty questions and concerns. Use judgement as to those questions/concerns that can be handled and those that need to be escalated. Draft and publish clinical schedules in Qgenda coordinating with physician attendings and supervisor. Update daily changes. Division administrative support for faculty recruitment and onboarding: Coordinate with recruiter providing faculty availability for interviews, reserve meeting rooms, coordinate dinner reservations and process payments. Assist new faculty by coordinating meeting scheduling, requesting badge access and completing other onboarding tasks. CME credit manager for division. Submit applications, track attendance for all division conferences (weekly), send out weekly email with conference speaking agendas and assist with distributing CME codes to participants. Expense report initiator. As the faculty delegate, appropriately create expense reports and attach receipts, monitor workflow progress to ensure compliance and track expenditures for future reporting. Buy at Duke rep for division. Process purchases, perform goods receipts, clear P-Card expenses. Admin support for attending shadowing and observership: process requests coordinating with faculty, applicants, and Visa Services. Primary clerical point of contact: answer office phone, process faxes, distribute mail, request website updates, submit IT tickets and office-related maintenance orders, order keys.
Job Eligibility Requirements
High school diploma or equivalent education required. One-year experience of clerical or general office support required. Seeking a highly detail-oriented and tech-savvy professional who is comfortable working in a fast-paced healthcare environment supporting critical specialty units. The ideal candidate demonstrates strong focus, accuracy, and sound judgment, with the ability to manage complex information, navigate multiple systems efficiently, and maintain a high level of precision when scheduling, documenting, and coordinating patient care activities. Strong organizational skills and the ability to remain attentive to detail while handling competing priorities are essential.
Job Hours The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
