Event Sales Coordinator provides sales, administrative, and event support to the Senior Event Specialist and sales team. This role manages lead intake, proposal preparation, client communication, event documentation, and logistical coordination to ensure a seamless client experience from inquiry through execution.
The ideal candidate is highly organized, detail-oriented, customer-focused, and thrives in a fast-paced environment.

WHAT YOU’LL BE DOING
Respond to inquiries and qualify leads.
Schedule client calls, venue tours, tastings, and planning meetings
Prepare and revise proposals, contracts, and event documents.
Track proposals and follow up with prospective clients.
Maintain CRM and event management records.
Assist with contracts, deposits, and event deadlines.
Serve as an additional client contact throughout the planning process.
Respond to questions regarding menus, rentals, timelines, and logistics.
Send follow-up emails, meeting recaps, and event reminders.
Coordinate communication between clients, vendors, and internal teams.
Assist with post-event follow-up, testimonials, and reviews.
Event Coordination Support
Gather final guest counts, dietary restrictions, and entrée selections.
Compile and distribute event details to production and operations teams.
Coordinate rental orders and maintain tracking documents.
Assist with timeline development and event logistics.
Prepare production packets and event folders.
Administrative Support
Maintain organized event files and records.
Update spreadsheets, reports, and sales tracking documents.
Assist with invoicing and event billing documentation.
Manage calendars and scheduling.
Prepare materials for tastings, open houses, and client presentations
Support special projects as assigned.
THE KEY REQUIREMENTS Required
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Ability to manage multiple projects simultaneously.
High attention to detail.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Preferred
Experience in hospitality, catering, events, or weddings.
Experience with CRM or event management software.
Knowledge of event logistics and rental coordination.
