About the Role We are seeking a Sales Operations Specialist to support the sales organization through efficient order processing, vendor coordination, customer communication, and cross‑functional collaboration. This role is critical to ensuring smooth sales operations and delivering a high level of customer service throughout the order lifecycle. The ideal candidate is detail‑oriented, highly organized, and capable of managing multiple priorities in a fast‑paced environment.
Work Location Onsite (Hayward, CA)
Key Responsibilities
Validate and process customer orders accurately and efficiently
Communicate with vendors and manufacturers regarding order requirements and status updates
Manage vendor quotations, negotiate payment terms, and follow up on order progress
Understand and follow established guidelines, workflows, and operational processes
Support multiple sales managers and manage multiple orders simultaneously
Monitor order status and proactively provide updates to customers
Serve as a point of contact for the department and collaborate with cross‑functional teams including Finance, Sales, and Engineering
Coordinate with the Logistics department to ensure timely product deliveries
Maintain and update sales records, customer information, and operational documentation
Prioritize tasks effectively and resolve issues in a timely and professional manner
Qualifications
Bilingual English and Mandarin strongly preferred
Strong customer service orientation with a goal‑driven mindset
Excellent analytical, organizational, and multitasking skills
Detail‑oriented with a willingness to learn and adapt
Ability to prioritize responsibilities and manage time effectively in a fast‑paced environment
Strong communication and collaboration skills with the ability to work across teams
Preferred Qualifications
Experience working with ERP/CRM platforms, with NetSuite experience preferred
Experience supporting sales operations, order management, or customer service functions preferred
Ability to manage multiple stakeholders and competing priorities effectively
