Role Description The Mobile Executive Assistant is a full‑time, on‑site role based in the Greater Sacramento area, providing flexible, in‑person support across locations as needed. This role includes managing calendars, scheduling meetings, coordinating travel, and preparing expense reports for senior leaders. The Mobile Executive Assistant will handle daily correspondence, organize documents, maintain confidential records, and prepare presentations and reports. Responsibilities also include supporting events, coordinating logistics for training sessions, and serving as a communication liaison between leadership, staff, partners, and students. The person in this role will anticipate needs, resolve administrative issues proactively, and ensure smooth, efficient operations for the executive team.
Qualifications
Strong Executive Administrative Assistance and Executive Support skills to manage complex schedules, priorities, and confidential information.
Proficiency in Administrative Assistance, including document preparation, filing, data entry, and coordination of meetings and events.
Experience preparing and tracking Expense Reports with attention to detail and accuracy.
Excellent Communication skills, both written and verbal, with the ability to interact professionally with executives, team members, and external partners.
Comfort working in a mobile, on‑site capacity across the Greater Sacramento area; valid driver’s license and reliable transportation preferred.
Strong organizational and time management abilities, with the capacity to handle multiple tasks and shifting priorities.
Proficiency with standard office software (e.g., Google Workspace or Microsoft Office) and digital communication tools.
Previous experience supporting leaders in education, healthcare, or training environments is a plus.
High school diploma or equivalent required; additional training or education in business administration or a related field is preferred.
