Position Summary The Inside Sales Coordinator is a high-impact operations role at the intersection of sales, data management, and customer finance. You will own the accuracy of Titan’s project and pricing data in Command Cloud, keep the sales team equipped with timely quotes and submittals, and drive accounts receivable collections to support the accounting team. This position is ideal for a detail-oriented professional who thrives in a fast-paced construction environment and takes ownership across multiple concurrent priorities.
Key Responsibilities
Partner with sales representatives and the Sales Director to prepare and issue accurate, competitive quotes for concrete projects of all scopes — from residential pours to large commercial placements.
Enter and maintain project and pricing records in Command Cloud with a high degree of accuracy, ensuring all mix designs, volumes, delivery schedules, and pricing tiers reflect what was quoted.
Confirm project setup details before activation, including plant assignment, delivery windows, and customer account information.
Serve as a responsive point of contact for time-sensitive requests — including same-day project activations, mix design additions, and schedule changes — communicating clearly with customers, reps, and plant staff to keep pours on track.
Track active projects across all plant locations, ensuring timely customer notification and system updates that align with the original contract terms.
Administer contractual price escalation clauses and fuel/material surcharge triggers in coordination with sales reps and billing, ensuring adjustments are applied accurately and communicated to customers in advance.
Maintain an organized project log to track expiring contracts, renewal opportunities and pending change orders.
Reporting & Analytics
Own the production and distribution of Command Cloud KPI reports to the sales team and management on a recurring cadence, ensuring data integrity and timely delivery.
Assist in preparing periodic sales performance summaries by plant, customer segment, or product line to support executive reporting.
Maintain project-level visibility into margin performance, escalation status, and yards-sold trends; surface actionable insights to sales leadership to support pricing decisions and volume forecasting.
AR Collections & Customer Account Management
Monitor the accounts receivable aging report and proactively contact customers with outstanding balances via phone and email, escalating delinquent accounts to the Controller as needed.
Coordinate with the AR Staff Accountant and sales reps to resolve disputed invoices, billing discrepancies, or ticket variances that are delaying payment.
Apply credit hold and release procedures in coordination with the CFO/Controller and sales team, balancing customer relationship preservation with risk management.
Track DSO trends and flag customers with deteriorating payment behavior; maintain collection notes in the customer account record.
Skills & Qualifications
2+ years of experience in a construction, building materials, or industrial supply environment; ready-mix concrete industry background required.
Strong attention to detail with the ability to manage multiple active projects simultaneously.
Familiarity with ready-mix concrete submittals, mix design specifications, and project documentation requirements.
Proficiency with order management or dispatch software; Command Cloud experience a plus.
Proficient in Microsoft Excel, including pivot tables, VLOOKUP/XLOOKUP, and structured reporting; able to build and maintain tracking spreadsheets independently.
Experience with Power BI or comparable data visualization tools is a plus.
Excellent verbal and written communication skills; comfortable making outbound collection calls and interacting professionally with customers and contractors.
Demonstrated ability to manage competing priorities without losing accuracy — you are comfortable in a dispatch-driven environment where same-day pivots are the norm, not the exception.
