The ERP Program Coordinator will play a crucial role in ensuring the successful implementation and management of the ERP program. This position is essential for facilitating communication and coordination across multiple program teams, maintaining organized process workflows, and ensuring that the program has critical tools and access to stay on track and meet its objectives. The Program Coordinator will manage internal program change by ensuring effective, transparent communication and training as new PMO processes and standards are rolled out. The coordinator will support the program by establishing and ensuring adherence to PMO standards and best practices. Additionally, the coordinator will facilitate meetings to drive alignment across multiple teams within the program, tracking progress, ensuring cross-team synchronization, resolve impediments and support scaled agile delivery.
The candidate will need to be local to one of these areas: Chicago, IL, Peoria, IL, Champaign IL, Denver, CO, Dallas, TX, Pheonix, AZ in order to go into the office when asked. The position is 100% remote with potential for 5% travel to the aforementioned locations.
The estimated duration of the role is 6 months, with potential to be extended.
The following are typical tasks for this position:
- SharePoint Content Development: Design, build and maintain intuitive SharePoint pages that centralize program documentation, updates, and resources. Ensure seamless integration with other tools (e.g., Teams, Outlook, OneNote) to streamline workflows. Maintain access controls and versioning to support secure and reliable content management.
- Internal Communications: Develop and distribute program-wide communications including process updates, new materials, and standard work. Create job aids and visual content to drive understanding and adoption of PMO processes. Coordinate messaging across workstreams to ensure alignment and reduce information silos. Create onboarding and training materials for new team members.
- Compliance & Process Alignment: Audit and ensure adherence to relevant PMO policies and Caterpillar compliance standards. Support rollout of new PMO processes by coordinating training and feedback loops.
- Administrative Support: Manage schedules, organize meetings, and prepare agendas and minutes. Track team rosters and support onboarding logistics.
- Interaction with team: 10-15 folks on the PMO team, as well as working with broader program team including enterprise partners and external vendors. Working with new team members and directly with the WD. There are over 100 people on the program, so they need to have some exp working in a large group.
Education & Experience Required: Bachelor's or Master's degree preferred. With 5-7 years exp in this capacity. If they don't have a degree, a candidate with 10+ year experience will be considered.
Must Have/Technical Skills: SharePoint experience in designing, developing and managing site content (pages, integrations, folder structure, etc.) and access to drive appropriate level of transparency and optimize collaboration. Creating workflows with other MS tools (Power Automate experience). Experience in documenting training materials and process guides and/or job aides. Strong ability to enable change through communication, training and reinforcement of new processes, standards, and tools - Microsoft 365 Suite
(Desired) Ability to leverage AI and emerging technologies to streamline and optimize PMO processes - Confluence experience - PMO/Project management experience - Nice to haves: PowerBI, Azure DevOps, Miro
