We are seeking an action-oriented, self-driven, and detail-oriented Project & Sales Coordinator to join our growing team in Kalamazoo, MI. This role is ideal for someone who thrives at the intersection of customer service, sales support, project coordination, and creative problem-solving.

In this entry-level role, you will support sales efforts, coordinate projects of varying complexity, and collaborate closely with clients and internal teams. You will play a key role in helping manage customer relationships, preparing estimates and project specifications, supporting pipeline and sales growth initiatives, and ensuring projects are delivered on time, within scope, and on budget. This entry-level opportunity offers strong growth potential and the chance to build lasting client partnerships while developing analytical, strategic, and project management skills.
To perform this job successfully, the qualified new member of our team’s responsibilities include, but are not limited to, the following:
Prepare, enter, and manage estimates, quotations, and sales orders
Conduct quote follow-ups and support closing sales opportunities
Assist in executing sales development strategies to expand new and existing client base
Enter and manage sales pipeline opportunities for tracking, reporting, and forecasting
Respond promptly and professionally to client inquiries via phone and email
Build and maintain strong client relationships through proactive communication and follow-up
Assist in new client engagement initiatives and business development efforts
Understand customer needs and recommend appropriate branding solutions
Project Coordination & Management
Assist in and coordinate projects from initial inquiry through completion
Manage client communication post-sale to ensure smooth project execution
Simultaneously manage multiple projects with varying complexity and timelines
Ensure projects remain on schedule, within scope, and on budget
Coordinate with design, production, and leadership teams
Assist with large-scale project rollouts and implementation planning
Schedule client meetings and coordinate design reviews
Take detailed meeting notes, track action items, and ensure follow-through on deliverables
Gather, organize, and maintain project files and assets throughout project lifecycles
Collect project details and submit quote requests for estimating
Technical & Field Support
Write and maintain project specifications and scope documentation
Enter and update project details for work orders and estimates
Validate and communicate technical project information across teams
Lend support and conduct occasional site visits for measurements, field verification, and assessments
Coordinate installation walkthroughs with clients and internal teams
Provide exceptional customer service and maintain long-term client partnerships
Ensure customer expectations are met or exceeded throughout project lifecycles
Collaborate with the Director of Creative Services and Client Relations on complex projects
Identify opportunities to better serve clients and address unmet needs
