Primary Responsibilities
Serve as the primary point of contact for all inbound phone calls, digital leads, website inquiries, and social media inquiries. Use discretion to determine how best to respond to general and specialized lead requests via both the telephone and email while tracking all communications in our Customer Relationship Management (CRM) tools.
Monitor incoming lead traffic from multiple websites. Monitor and manage incoming lead traffic from multiple digital platforms and sources.
Professionally qualify prospective clients, assessing purchasing interests, timeline, and readiness through phone, email, and digital engagement. Accurately route qualified leads and set appointments with the appropriate Sales Executives based on defined protocols.
Employ a strong attention to detail, ensuring brand‑consistent, luxury‑level written and verbal communication is employed at all times. Will chat online with website visitors who are interested in learning more about our communities and homes.
Respond to all voicemails quickly/directly and follow up with the appropriate sales team member to make sure the call is properly addressed. Respond to sales inquiries via social media, phone, and email.
Engage with website visitors via live chat and digital platforms to provide timely, accurate information.
Support client rotation protocols and ensure adherence to established sales processes.
CRM Accuracy & Data Governance and Reporting
Identify opportunities for process improvement related to lead handling, client experience, and CRM utilization.
Conduct thorough database searches before creating new records. Prevent duplicate entries and maintain data cleanliness. Prepare and deliver daily, weekly, and monthly reporting, including lead activity, response times, and conversion metrics, in accordance with outlined procedures.
Audit assigned records daily to ensure accuracy of ownership and rotate.
Prepare daily, weekly, and monthly HubSpot reports, including:
Lead volume by source
Response time metrics
Appointment conversion rates
Sales Executive assignment accuracy
Follow‑up compliance tracking
Qualifications
Education: Minimum of a High School Diploma. Must have a current Florida Real Estate License.
Desired Experience/Background Two or more years of customer service experience, working closely with high‑net‑worth or luxury clientele in real estate, hospitality, or sales‑driven environment. Requires savvy computer skills including good working knowledge of social media. Must have excellent written and verbal communication skills. Must adhere to the London Bay Core Values of teamwork, respect, integrity, commitment, and quality. Ability to manage multiple priorities with accuracy, urgency, and discretion. Work experience in a competitive sales environment. Working knowledge of HubSpot a plus. Experience working with AI platforms and digital communication tools highly desirable.
Physical Requirements Must be able to lift and carry up to 5 pounds. Requires the ability to sit for extended periods. This position is in‑person and can be performed from either Saltleaf Development office or inside the Hyatt Regency Coconut Point Resort and Spa. Must be able to work weekends and/or varied hours between 8 a.m. and 8 p.m. as directed by the Sales Director.
