About the Role: This position is responsible for performing diverse administrative support duties and assists in providing support and organizing the day-to-day operations of the office. This position is responsible for submitting and processing psychiatric evaluations and medication management notes as scheduled and in collaboration with the psychiatrists. The position assists Program with administrative functions that involve a high degree of professionalism and organizational services. This role is an administrative resource for a wide range of office activities that require strong customer service skills and abilities. Responsibilities:
Completes files and returns all documentation distributed by office management Resolves administrative issues by coordinating report preparation, analyzing data, and identifying solutions Supports managers and employees with organizational and communication-related tasks During prescriber sessions document and work with prescriber in completing and submitting services Admit and coordinate client entry into telehealth prescriber services Handles confidential and time-sensitive materials with discretion Attends all required and scheduled trainings and meetings for IBHS and Outpatient Therapist programs Maintains efficient workflow by reviewing processes, implementing cost reductions, and developing reporting procedures Accurately documents time worked Demonstrates the highest level of professionalism when interacting with all employees, consumers, and guests of ACE/IMS Maintains a professional demeanor and exercises sound professional judgment in all areas of employment duties Creates, edits, and updates spreadsheets and reports Assists with verifying insurance eligibility for new referrals Organizes, scans, and maintains client files Collects records for requests from other providers and Social Security Performs light housekeeping duties as needed Assists with answering phone calls and responds promptly to client inquiries Assists with scheduling and rescheduling clients for all providers, as requested Completes program services and special projects as assigned by the Office Manager or Executive Director
Requirements: • Computer skills and knowledge of relevant software • Knowledge of clerical and administrative procedures and systems such as filing and record keeping • Knowledge of principles and practices of basic office management Preferred Experience: • 2+ years of relevant experience & 1+ years customer service experience • Records management Education: • Minimum of High School Diploma • Preferred: Associate degree About Company: Apis Services, Inc.
