The Inside Sales Administrator / Project Coordinator serves as the operational backbone of the sales team while also supporting inside sales and customer project management functions. This role is responsible for managing customer communications, maintaining CRM data, processing orders, coordinating project timelines, and supporting sales representatives throughout the sales cycle. This position allows our outside sales and regional sales managers to focus on business development and customer relationships while ensuring customers receive exceptional service and project coordination from start to finish. Key Responsibilities
Sales & Customer Support
Handle inbound customer inquiries professionally and in a timely manner
Develop and maintain strong customer relationships
Educate customers on products, services, and project capabilities
Assist customers with pricing requests, product selection, and order coordination
Generate and process quotations, sales orders, and invoices
Support Regional Sales Managers with post-sale coordination and customer follow-up
Maintain consistent communication regarding project timelines, production schedules, and shipping updates Project Coordination & Administration
Coordinate activities between sales, engineering, production, logistics, and customers
Monitor project status and proactively communicate delays or schedule changes
Ensure accurate order entry, documentation, and transaction processing
Maintain organized project files and customer records
Resolve billing discrepancies, delivery issues, and customer concerns
Assist with special projects and administrative tasks as assigned CRM & Reporting
Maintain accurate CRM records and customer communication logs
Track sales activity, leads, and project progress
Compile sales reports, forecasts, and KPI tracking information
Utilize Microsoft Excel for reporting, data analysis, and project tracking
Support ongoing process improvement and data integrity initiatives A Typical Day Includes
Answering inbound calls, emails, and web inquiries
Providing detailed product and service information
Reviewing customer requests and project specifications
Collaborating with engineering and sales teams on pricing and quotation preparation
Processing sales orders and customer documentation
Updating CRM systems with customer interactions and project updates
Coordinating production schedules and shipping timelines
Following up with customers to ensure satisfaction and successful project completion
Assisting sales representatives with administrative and operational support Required Qualifications
2–5 years of experience in inside sales, sales support, customer service, project coordination, or administrative roles
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Tech savvy with ability to organize and coordinate shared digital document system
Proficiency with Microsoft Office applications including Word, Excel and Outlook
Ability to work on-site in Shawnee, KS
Ability to work effectively in a fast-paced team environment
Willingness to travel up to 5% annually for trade shows, training, or customer visits Preferred Qualifications
Experience in manufacturing, construction, concrete pipe, or precast industries
Experience using CRM software such as Zoho, Salesforce, or similar platforms
Knowledge of construction materials or concrete products a plus
Background in inside sales, project coordination, or sales administration
Experience coordinating customer projects or production schedules
Advanced Excel skills including pivot tables and data analysis Necessary Skills & Abilities
