Executive Assistant - Banking Industry
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support senior executives within our banking institution. The ideal candidate will have strong administrative, communication, and problem-solving skills, with the ability to handle confidential information and manage complex schedules efficiently.
Key Responsibilities:
Provide high-level administrative support to C-level executives (CEO, CFO, COO) and senior banking officials. Manage calendars, schedule meetings, and coordinate appointments across multiple time zones. Handle confidential correspondence, reports, and presentations with discretion. Organize and prepare materials for board meetings, client presentations, and internal strategy sessions. Act as the first point of contact for internal and external stakeholders, ensuring professional communication. Coordinate travel arrangements, including flights, hotels, and transportation. Manage expense reports, budgets, and reimbursements using banking financial tools. Assist in drafting memos, reports, and emails for senior management. Support office operations, including vendor management and office supplies procurement. Ensure compliance with banking policies and regulatory requirements in all administrative processes.
Required Skills & Qualifications:
Education: Bachelor's degree in Business Administration, Finance, or a related field preferred. Experience: 5+ years as an Executive Assistant, preferably in the banking or financial services industry. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and financial software (e.g., SAP, Concur). Excellent time management, organizational, and problem-solving skills. Strong written and verbal communication skills. Ability to handle sensitive information with discretion and confidentiality. Knowledge of banking regulations, compliance, and corporate governance is a plus. Ability to work in a fast-paced environment and manage multiple priorities efficiently.
Preferred Qualifications:
Experience supporting C-level executives in a financial institution. Familiarity with financial reporting, investment banking, or corporate finance operations. Strong networking and relationship-building skills within the banking industry.
