Job Title: Administrative Assistant
Location: 8700 Beverly Blvd, West Hollywood, CA (90048)
Duration: 13 Weeks / 3+ Months
Schedule: Day Shift (5x8, 08:00-17:00)
Position Overview
We are seeking a highly organized and proactive Administrative Assistant to provide onsite support to the Supply Chain Department. This role supports three directors and a team of professionals within a critical operational function in a healthcare environment. The ideal candidate thrives in a fast-paced setting, demonstrates strong attention to detail, and can effectively manage multiple priorities.
Minimum Qualifications
High School Diploma or GED required Minimum of 2 years of administrative or office experience
Core Competencies
Strong organizational and multitasking abilities Excellent verbal and written communication skills Proficiency in Microsoft Office Suite, Microsoft Teams, and scheduling tools Experience with document management systems Proactive, solution-oriented mindset with a focus on operational excellence
Key Responsibilities
Administrative & Operational Support
Manage executive calendars, including scheduling, conflict resolution, and prioritization Coordinate meetings (Zoom/Teams), prepare agendas, and ensure technology readiness Monitor and triage emails, track action items, and assist with inbox management Arrange travel, including last-minute bookings and expense coordination Handle ad hoc administrative tasks and document preparation
Recurring Responsibilities (Weekly/Monthly)
Prepare meeting materials, agendas, minutes, and follow-ups Track deliverables, action items, and administrative requests Submit and monitor expense reports and approval workflows Assist with payroll and timekeeping validation Maintain compliance documentation and checklists
HR & Onboarding Support
Coordinate new hire onboarding (system access, scheduling, materials) Maintain employee records (contracts, training, performance documentation) Conduct compliance audits and file reviews Support recruitment processes, including interview scheduling and candidate communication
Quarterly & Annual Duties
Coordinate workspace planning and equipment needs Assist with vendor management and service reviews Support performance reviews, benefits enrollment, and year-end reporting Participate in process improvement initiatives and SOP updates Assist with compliance audits and documentation reviews
Documentation & Systems Management
Maintain organized administrative systems and trackers Ensure clear ownership and timelines for recurring tasks Securely store sensitive information and credentials Support knowledge transfer and transition processes
Department Overview: This role supports the Supply Chain Department, a vital operational unit within the organization, working closely with leadership and cross-functional teams to ensure efficiency and continuity.
