Description:
The Administrative Assistant provides high-level support to the Corporate Administrator, executive leadership, and the Bid Division Manager. This role requires outstanding organizational skills, attention to detail, and a proactive mindset. You'll help ensure daily operations run smoothly, legal and financial risks are minimized, and projects stay compliant and well-documented.
What You'll Do
Conduct research on new jurisdictions, regulations, and compliance topicsManage special projects involving cross-functional teamsUse Excel to track data, apply formulas, and generate reportsSecure, organize, and maintain legal documentation for job contractsEnsure each job has a binding customer contract in placeManage timely and accurate customer change orders and track project scope changesOversee licensing, insurance, billing, and lien waiver requirementsNegotiate and finalize legal agreements for equipment and servicesMaintain a high level of confidentiality and professionalismProvide administrative support to the Corporate Administrator and executive teamAct as a backup to the Corporate Administrator during absencesCoordinate meetings via Microsoft Teams, including scheduling and follow-upDraft, edit, and finalize reports, correspondence, legal documents, and meeting minutesMaintain and update corporate documents and shared files
Qualifications:
Proven experience as an Administrative or Executive Assistant, or in a similar support role#Experience in construction, AV, or a related technical field#Associate's degree or higher in Electronics or a related discipline#Strong communication and interpersonal skills at all organizational levels#Excellent writing skills with a polished, professional tone#60+ WPM typing speed with strong attention to detail#Proficient in Microsoft Office Suiteespecially Excel, Word, Outlook, and Teams#Familiarity with safety standards and OSHA regulations#Organized, tech-savvy, self-motivated, and able to handle competing priorities
