Our partner is seeking a highly organized and detail-oriented Executive Assistant to join the team in New York City. The ideal candidate will play a crucial role in supporting one of the firm's Partners by providing comprehensive executive and personal assistance. This position requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced and demanding environment.
Responsibilities
Executive Assistance
Manage executive's calendars, including scheduling meetings, and appointmentsScreen and prioritize incoming communications, including emails, phone calls, and mailCoordinate logistics for internal and external meetings, including room bookings and catering arrangementsMaintain executives' data / contacts in the firm's CRM systemAssist with special projects and initiatives as assigned by executivesLiaise with various teams to ensure seamless execution of meetings and eventsArrange complex travel itineraries, including flights, accommodations, and ground transportationMonitor travel changes and provide timely updates to all relevant partiesMonitor and code expenses for the executives within QBO in a timely mannerMaintain and organize electronic and physical filing systems, ensuring easy retrieval of important documentsServe as a point of contact for clients, demonstrating professionalism and exceptional customer service
Personal Assistance
Provide personal support to executives, including managing personal calendars and appointmentsArrange personal travel, accommodations, and entertainment as requestedAssist with personal errands and tasks, such as shopping, event planning, and household managementCoordinate family-related activities and appointments, including children's schedules if applicableMaintain confidentiality and discretion regarding personal matters
Qualifications
Strong proficiency in AI tools like ChatGPT and ClaudeBanking or finance interestStrong organizational skills with the ability to prioritize tasks and manage time effectivelyExcellent communication and interpersonal skills, both written and verbalProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Discretion and the ability to handle confidential information with utmost sensitivityAbility to work independently and collaboratively in a team-oriented environmentBachelor's degree in Business Administration, Human Resources, Communications, Marketing or a related field is preferred

Salary
Range between $100k - $110k
*Please note: This position is located in New York City. You are expected to commute to the Midtown Manhattan office Monday through Friday from 9:30am - 6pm.*
