SALES COORDINATOR
JOB SUMMARY : The Equipment Sales Coordinator plays an important role in supporting the HVAC equipment sales team by serving as the central coordination point for customer inquiries, sales appointments, and reporting. This role ensures that potential equipment sales opportunities are handled quickly, professionally, and consistently so that no opportunity is missed. The coordinator will manage the HVAC equipment inquiry phone line, help guide customers to the appropriate sales advisor, schedule appointments, and maintain consistent follow-up with prospective customers. In addition, the position supports the sales team by compiling and tracking key sales reports, helping leadership maintain visibility into activity and performance. This role requires strong customer service instincts, attention to detail, and the tenacity to follow up with customers and keep opportunities moving forward.
ESSENTIAL FUNCTIONS:
Customer Inquiry Manage the incoming HVAC equipment sales phone line and respond to customer inquiries in a professional and timely manner. Serve as the first point of contact for customers interested in equipment sales and qualify the lead. Determine the urgency of each inquiry and route opportunities to the appropriate sales advisor. Maintain consistent follow-up with customers who have inquired about equipment but have not yet scheduled an appointment. Ensure no sales opportunities are missed through proactive communication and persistent follow-up. Customer Experience
Provide an excellent customer interface that reflects the professionalism and reputation of the company. Build rapport with customers while guiding them through the process of scheduling equipment consultations. Communicate clearly with both customers and internal teams to ensure smooth coordination. Sales Team Coordination
Support approximately six HVAC equipment Comfort Specialists and Generator Sales. Schedule equipment sales appointments for the HVAC, generator and propane sales team. Help ensure the sales team's calendars are efficiently scheduled. Serve as a communication link between customers, technicians, and sales advisors. Reporting & Sales Support
Compile and track equipment sales reports for the Head of Sales. Maintain organized records of equipment inquiries, appointments, and technician leads. Assist with tracking key activity metrics such as:
Incoming sales inquiries Appointment scheduling Technician-generated leads Sales pipeline activity
Prepare routine reports to support leadership visibility into sales performance
QUALIFICATIONS
Strong customer service and communication skills Highly organized with strong attention to detail Ability to manage multiple priorities in a fast-paced high call volume environment General understanding of HVAC, generator & propane equipment Professional phone presence and ability to build rapport quickly Strong follow-through and persistence when working with prospective customers Comfort working with spreadsheets and basic reporting Ability to coordinate schedules and manage multiple sales calendars Experience supporting a sales team or customer-facing operations preferred WHAT SUCCESS LOOKS LIKE IN THIS ROLE
Equipment inquiries are handled quickly and professionally. Sales appointments are scheduled efficiently and consistently. Technician-generated leads are captured and converted into scheduled consultations. Customers experience responsive and helpful communication throughout the process. Sales reporting is accurate, timely, and reduces administrative burden on the sales manager. Comfort Specialists are able to focus more of their time on selling rather than coordination tasks
WORKING ENVIRONMENT:
This is a 100% office-based role in a professional office setting. The position routinely uses standard office equipment, including computers, phones, photocopiers, and filing cabinets. Field exposure may include ride-a-long with drivers and technicians, customer home visits and Companywide site visits.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, and hear; and to use hands and arms to handle or reach. The employee may occasionally stoop, kneel, crouch, balance, or lift objects up to 25 pounds.
