We are seeking an Office Administrator for a 12‑month contract to support smooth, welcoming and efficient day‑to‑day operations in our Ottawa office. You'll play a central role in creating a positive experience for employees, visitors, and clients while ensuring the workspace functions seamlessly.
Your Impact
- Welcome and direct clients and visitors in a warm, professional manner.
- Manage incoming calls through the MS Teams platform and coordinate responses to maintenance and security requests.
- Maintain, reserve, and support the setup of front‑of‑house meeting rooms, including coordinating catering needs.
- Oversee visitor badges, office supplies, workstation allocations, lockers and parking directions.
- Distribute staff security cards and ensure signed agreements are properly tracked.
- Support Facilities with service request management across the office.
- Manage mail, courier packages, incoming cheques, invoices and general office deliveries.
- Maintain up‑to‑date office floor plans and support Flowscape usage where applicable.
- Support front‑of‑house amenities including coffee station upkeep and visitor Wi‑Fi/connection needs.
- Perform administrative tasks as required and assist the Regional Facilities Manager.
The Skills That Set You Apart
- Over 1 year of experience in reception, office coordination or administrative support.
- Strong interpersonal and communication skills with a professional customer‑service mindset.
- Bilingual in English and French is mandatory due to national‑level collaboration.
- Proactive, courteous, and able to multitask in a dynamic team environment.
- Ability to handle sensitive and confidential information appropriately.
- Working knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
- Willingness to obtain First Aid/CPR and Fire Warden training.

Compensation
AB, BC, NT, NU, SK & YT:
$50,500 – $66,800
MB & ON:
$46,000 – $63,400
NB, NL, NS, PEI & QC:
$45,600 – $60,500
