What You'll Do
As the Administrative & Operations Assistant, you'll help keep WNC Communities running smoothly as our programs and partnerships continue to grow across Western North Carolina. You'll provide primary administrative support to the Executive Director and flexible support to program staff, helping ensure schedules are coordinated, communications are clear, meetings are well-run, and internal systems stay organized.
This is an organization-wide support role that blends administrative coordination with practical office operations. Your work will range from document preparation, scheduling, and meeting support to managing supplies, coordinating vendors, and helping maintain shared office spaces. No task is too small if it helps the organization function well. By supporting leadership, staff, and systems behind the scenes, you'll help program teams stay focused on mission-driven work that strengthens rural communities.
This role is a great fit for someone who is highly organized, tech-savvy, dependable, and enjoys variety, especially if you take pride in being the person who helps everything run just a little better.
Key responsibilities include:
- Providing primary administrative support to the Executive Director, including scheduling, correspondence, and document preparation
- Supporting Program Managers as needed with scheduling, coordination, and document organization
- Preparing materials and logistics for Board and committee meetings; taking notes and tracking follow-up items as requested
- Managing office communications, files, and records across digital and physical systems
- Ordering and maintaining office supplies and basic inventory; coordinating vendors and contractors (IT, cleaning, HVAC, etc.)
- Assisting with timesheets, expense documentation, and other administrative records
- Maintaining shared office spaces and basic facilities needs, including kitchen etiquette, recycling, and light equipment oversight
- Providing logistical and administrative support for meetings, trainings, and events involving staff, partners, and volunteers
- Assisting with website content updates and creating simple materials such as flyers, agendas, and presentations
- Supporting organization-wide coordination that helps staff, volunteers, and leadership work effectively together

Ideal candidates will have:
- Strong organizational and time-management skills, with the ability to manage multiple priorities independently and accurately
- Excellent attention to detail and follow-through
- Advanced, hands-on proficiency with core office and collaboration technology, including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive, Calendar, Gmail)
- Comfort scheduling, hosting, and troubleshooting Zoom and other virtual meeting platforms
- Confidence creating, editing, and formatting documents, spreadsheets, calendars, and shared files across platforms
- Ability to quickly learn new systems and workflows with minimal training
- Comfort handling basic technology troubleshooting and serving as an internal support resource when needed
- Clear, professional written and verbal communication skills
- A proactive, problem-solving mindset and a willingness to jump in where needed—no task is too small if it helps the organization run well
- Appreciation for mission-driven work and comfort operating in a small, collaborative nonprofit environment
Bonus Skills
- Experience creating simple graphics, flyers, and presentations using Canva
- Experience updating and maintaining website content using WordPress
- Familiarity with Adobe Creative Cloud tools such as Acrobat Pro, InDesign, or Photoshop
- Social media management experience
- An artistic eye for visual layout and design
Job Details
· Full-Time: 35-40 hours/week
· Compensation: $20-23/hour
· Benefits: Paid holidays and time off; eligibility for a generous wellness/technology stipend
· Work Environment: On-site at our Asheville, NC office
· Schedule: Regular weekday schedule required.
