JOB FUNCTION : The Sales Coordinator provides administrative and operational support to the Sales Project Management team and broader sales organization to enhance efficiency, accuracy, and responsiveness throughout the sales lifecycle. Responsibilities include quote preparation, opportunity coordination, CRM/ERP data management, and cross-functional communication to ensure sales opportunities and customer projects progress smoothly and on schedule. This role serves as an internal liaison between outside sales, applications engineering, product engineering, service, logistics, accounting, and other internal teams to support accurate quoting, order processing, and project execution. The Sales Coordinator partners with the Sales Project Manager to maintain data integrity, drive process consistency, and meet customer and business deadlines. Success requires strong organizational and communication skills, attention to detail, analytical capability, and the ability to manage multiple priorities in a deadline-driven environment. ESSENTIAL FUNCTIONS : Duties and responsibilities include the following, although other duties may be assigned: Sales Support & Opportunity Coordination: Assist in preparing customer quotes and coordinate opportunity progression from inquiry through order entry, ensuring milestones and deadlines are met. Maintain accurate information in CRM and ERP systems. Demonstration & Sample Coordination: Coordinate sample shipments, track deliveries, maintain documentation, and ensure timely follow-up actions. Sales Asset & Content Support: Assist with development of demonstration videos. Sales Analytics & Reporting Support: Gather, validate, and present sales and financial data for routine and ad hoc reports. Cross-Functional Sales Operations Support: Collaborate with Sales Project Manager and cross-functional teams to facilitate clear communication and timely issue resolution. Product Sample Management: Maintain records of product samples in the company’s tracking system for demonstrations and evaluations. Continuous Improvement & Administrative Support: Contribute to process improvements and SOP documentation; assist with additional duties as needed. QUALIFICATIONS : Bachelor's degree in related field preferred; equivalent experience considered. Minimum of two (2) years in project coordination, sales support, or related roles, preferably in a technical or industrial environment. Mechanical or technical aptitude with the ability to understand product specifications and technical information. Experience with CRM and ERP systems; proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); Salesforce and/or Epicor experience a plus. Strong written and verbal communication skills; ability to work effectively with internal teams and customers. Ability to build and maintain positive working relationships with colleagues and clients. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Analytical and problem-solving skills with attention to detail and data accuracy. Self-motivated, dependable, and able to work independently or as part of a team. Spanish bilingual skills are a plus but not required. Requires valid driver’s license and must be insurable. PHYSICAL DEMANDS : The role requires sitting, talking, and hearing; frequent use of computers and office machinery. Regular movement within the office, occasional standing, walking, reaching, and lifting up to 20 pounds.
