Serve as the primary administrator for Virtuous CRM, owning the platform end-to-end •
Manage user roles, permissions and system settings •
Maintain database structure and configurations to support organizational needs •
Manage and monitor API integrations with third-party tools •
Serve as the internal point of contact for integration-related data issues and work with vendors on resolution •
Stay current on Virtuous platform updates and evaluate new features for adoption Data Integrity & Reporting •
Ensure data accuracy and consistency across all records and integrated platforms •
Develop, document and enforce data entry standards and best practices •
Perform regular database audits, deduplication reviews and quality control checks •
Manage bulk data imports ensuring proper field mapping and deduplication •
Produce regular performance reports for leadership including donor retention rate, acquisition cost, campaign ROI, and giving pipeline health Donor Lifecycle & Engagement Operations • Coordinate with development and marketing to translate stewardship strategies into workflow logic within Virtuous • Configure behavior-triggered workflows based on donor actions • Design and maintain task-based workflows that route timely follow-up actions to the appropriate development staff at key moments in the donor lifecycle • Manage email list segmentation logic tied to workflow enrollment, exclusion criteria, and communication preferences • Monitor workflow performance, audit automation activity logs, and ensure triggers, filters, and actions are functioning correctly Finance & Marketing Support • Manage donor segmentation, and list generation for campaigns and appeals • Support campaign setup in Virtuous including campaign structure, campaign communications, segments, and source code configuration • Build and maintain acknowledgment letter templates for all gift types and campaigns • Manage tax receipt generation and year-end giving statement workflows, ensuring accuracy, compliance, and timely delivery • Support gift reconciliation with the finance team at month-end and year-end closings • Provide data insights and analysis to improve donor retention, upgrade rates, and engagement strategy • Support peer-to-peer fundraising campaign data flows and ensure proper sync of fundraiser and team data into Virtuous Training & Support • Train staff across departments on CRM best practices, data entry standards, and system use • Provide ongoing technical support and troubleshooting for users • Document all processes, workflows, and configurations and maintain a comprehensive CRM standard operating procedure document Requirements • Integrity, credibility, and commitment to Roc Solid Foundation's mission and goals • Bachelor's degree in Information Technology, Computer Science, Business Administration, Management Information Systems, or related field — OR equivalent combination of education, training, and experience • 2+ years of experience managing a nonprofit CRM database • Direct experience with Virtuous CRM is required • Demonstrated experience building and managing donor workflows and automation sequences within a CRM platform • Experience with data imports, bulk data tools, and field mapping in a nonprofit CRM context • Familiarity with peer-to-peer fundraising platforms and how transaction data flows into a CRM (GoFundMe Pro / Classy experience a plus) Salary Range - $60,000 - $80,000 Benefits include: 401(k) 401(k) matching Dental insurance Flexible spending account Health insurance Health savings account Life insurance Paid time off Vision insurance Bonus pay
