Regional Secretary Permanent Full-Time, 39 hours per week Location: Ireland (Office location flexible) About the Role: The purpose of this post is to provide a wide range of support activities to a designated Senior Operations lead (Regional Manager). The key tasks associated with this role will be to provide effective office administration support to the team, including providing comprehensive secretarial and administrative support such as general office management, dealing with incoming and outgoing correspondence, diary and travel arrangements, preparing documentation for meetings, liaising with a range of internal and external stakeholders, event and project management. What We're Looking For: * Educated to diploma/certificate level in a relevant discipline is desirable * At least four years administration experience with a track record of handling multiple competing priorities in a busy and challenging environment is desirable. * First class IT skills with a high level of proficiency in the full suite of Microsoft Office applications * Project and events management experience At Rehab Group, we understand that there are many paths of learning to your chosen career. Your Responsibilities: * Deliver secretarial and administrative support to the designated Senior Operations lead (Regional Manager) in line with organisational requirements and timeframes, to include diary management; compilation and collation of reports; management of orders, invoicing and expenses; maintenance of databases; preparation and coordination of meetings; organising travel; and general office administration in order that the operations team can deliver effectively across a range of projects, work streams and priorities. * Collate, coordinate and prepare organisational and KPI information, to include status reports; garda vetting applications for Service Users in the region; management account variances; regional activity; financial reports; and HIQA reports in order to meet compliance standards. * Communicate with internal and external stakeholders (funders, HR, Internal Audit, Property, Finance, Business Development, Quality & Governance) in relation to administrative queries relevant to the work of the designated Senior Operations lead and execute administrative tasks including the preparation of statistical information in order to ensure that queries are addresses efficiently and effectively and to ensure that all requirements are delivered in line with the requirements of Internal / External stakeholders * Monitor, maintain and manage the statistical information/reports and the production of trend analysis reports using spreadsheets, intranet and database software to include Health and Safety immediate notifications and incident reports in order to ensure accurate and up to date records of all HSE Monthly and Quarterly Returns and ensure submission by the required deadlines in line with Service Level Arrangements and Safety Statement requirements.
