Provide high-level administrative and operational support to senior leaders within the commercial organization. Responsible for optimizing executive effectiveness through calendar management, travel coordination, meeting preparation, expense management, project coordination, and support of sales initiatives. Serve as a strategic administrative partner for Sales Leadership, enabling executives to operate efficiently and effectively. Manage business activities for assigned executives, including complex calendar management, prioritization of meetings, and coordination across multiple time zones. Arrange detailed travel itineraries, meeting logistics, and communications for meetings, conferences, and client events. Partner with internal teams to coordinate meetings and events. Provide onsite support for commercial events, conferences, and leadership meetings as needed. Prepare executive materials including presentations, Salesforce reports, and event reports. Track deliverables and action items from leadership meetings. Manage professional communications on behalf of executives. Process and complete expense reports. Coordinate and support special projects for the commercial leadership team. Facilitate communication between internal departments and external partners, maintaining professionalism and strong relationships. Handle confidential business information with discretion and professionalism. Provide backup support to other administrative team members as needed. Perform additional duties as required. Requirements:
5+ years of executive administrative support experience, preferably supporting leaders in Sales, Business Development, or Commercial Operations Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint Experience with Concur for travel and expense reporting Proven ability to manage multiple executive calendars and priorities across a remote, fast-paced environment Strong organizational skills with exceptional attention to detail and the ability to manage multiple competing priorities Excellent verbal and written communication skills with the ability to draft professional executive correspondence Strong interpersonal skills and ability to build collaborative relationships with executives, internal stakeholders, brokers, and external partners Demonstrated ability to maintain confidentiality and exercise sound judgment High level of initiative, adaptability, and proactive problem-solving skills Ability to anticipate leadership needs, think ahead, and independently manage work with minimal supervision Project coordination experience with the ability to track deadlines and follow through on deliverables Professional presence with a service-oriented mindset and strong executive support acumen. Bachelor’s degree preferred. Experience with Salesforce or other CRM platforms preferred. Benefits:
