Title: Sales Coordinator
Salary: Non-Exempt - Paid Weekly

Estimated Pay Range: Min: $50,000.00 - Max: $60,000.00
Job Summary:
The Sales Coordinator position will play a crucial role in ensuring smooth and efficient operations. This role will support our team with a variety of administrative tasks, coordinating schedules, and facilitating communications across departments. Excellent organizational skills and attention to detail will be key in maintaining a productive and harmonious work environment.

Duties/Responsibilities:
• Maintain accurate and timely data entry within the CRM system; audit line items to ensure completeness and accuracy.
• Review and approve CRM orders in accordance with company policies and procedures.
• Process Accounts Payable functions, including receiving, verifying, reconciling, and approving factory invoices.
• Execute Accounts Payable (AP) and Accounts Receivable (AR) transactions in alignment with FOB Standard Operating Procedures using Business Central ERP.
• Calculate and apply appropriate sales tax to customer invoices.
• Review, verify, and post invoice batch transactions to ensure accuracy and compliance.
• Support weekly and monthly job reconciliation activities utilizing unbilled and VIR dashboards.
• Assist with cost recognition and financial tracking processes.
• Provide responsive customer service and administrative support to the sales team via phone, email, Microsoft Teams, and CRM systems.
• Collect, organize, and analyze data using Microsoft Excel to support reporting and decision-making.
• Crosstrain in multiple administrative functions to ensure adequate team coverage and continuity of operations.
• Review and analyze CRM and Business Central data for accuracy, completeness, and compliance with company standards.
• Perform additional duties and special projects as assigned.
Requirements
Required Skills/Abilities:
• Strong verbal communication skills.

• Highly organized with strong attention to detail; demonstrates initiative and the ability to work independently.
• Effective time management skills with the ability to prioritize tasks and consistently meet deadlines.
• Working knowledge of administrative and clerical procedures and systems.
• Demonstrated analytical and problem-solving skills, with a strong work ethic.
• Proficient with Microsoft Office Suite or related software.
• Positive and collaborative attitude with the ability to work effectively in a team environment.
• Ability to maintain confidentiality and handle sensitive information.
Education and Experience:
• High school diploma or equivalent; Associate degree preferred.
• Experience with ERP System Data Entry.
• Minimum 2+ years of experience in administrative and/or sales coordination, logistics, or customer service role, within the HVAC or construction industry is preferred.
Physical Requirements:
• Prolonged periods of sitting and working on a computer.
o Fine Motor Skills/Repetitive Motion: Significant typing, mouse usage, with repetitive wrist, hand and finger movements.
• Must be able to lift up to 25 pounds at times.
