Warehouse Specialist


The Warehouse Specialist plays a key role in supporting end-to-end inventory management operations. This position is responsible for maintaining inventory accuracy and reliability, ensuring timely order fulfillment, and delivering exceptional service to both internal and external customers. The Warehouse Specialist works in close coordination with the sales and service teams to meet company standards in inventory control while contributing to an efficient, well-organized warehouse environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

IMG Equipment:

  • Perform daily unloading, receiving, and organizing storage of all equipment inventory.
  • Responsible for managing all sales orders processing in eAutomate (ERP system)
  • Unbox and assemble machines in accordance with sales pick tickets
  • Serve as backup to the Shop Technician, supporting key responsibilities including machine setup, programming, and quality control.
  • Verify all incoming IMG equipment against the packing slip and purchase order and receive into eAutomate.  Electronically file all corresponding paperwork into Docuware. 
  • Responsible for daily shipping of all equipment sales orders first thing in morning after trucks depart to reflect proper inventory management practices
  • Managing all delivery paperwork from drivers and verifying completeness and accuracy based upon scheduled deliveries for that and scanning into system for retrieval by order processing and logistics departments.   
  • Work directly with the Logistics Coordinator and Set Up Tech to ensure that all machines are built, fully prepped and tested to meet daily delivery obligations.
  • Assist in physical inventory counting and reconciliation of equipment inventory warehouses semi-annually.
  • Provide secondary support for equipment delivery and pickup at customer and vendor locations.

Parts

  • Provide secondary support for parts receiving, picking and shipping operations.

IT Hardware

  • Unload and organize all incoming IT hardware for receipt by Parts/Operations Specialist.
  • Deliver checked-in IT hardware to the designated IT Storage Receiving area in a timely and organized manner after receipt is completed in systems.

Supplies

  • Perform daily unloading and delivery of supplies to Supply Fulfillment Representative.
  • Receive in verified supply orders into eAutomate and load required documents into Docuware. 
  • Serve as backup to the Supply Fulfillment Representative as needed, including local offsite hand deliveries to customers.

Other:

  • Support drivers with daily paperwork questions, clarifications, or necessary adjustments as applicable.
  • Maintain a clean, organized, and safe work environment at all times, including routine sweeping of floors and proper storage of all inventory, tools, and warehouse materials in their designated locations.
  • Perform regular removal of trash and recyclables to designated dumpsters and coordinate with accounting when additional pickup is required due to volume.
  • Maintain clear and effective communication with warehouse, logistics, dispatch, service, and operations management teams.
  • Project a professional appearance and demeanor at all times.
  • Perform all other duties as assigned.

EDUCATION and EXPERIENCE:  High school diploma or equivalent and completed classes or experience involving computers, electronics.  Must have computer skills and ERP experience

CORE TECHNCIAL REQUIREMENTS:   

ERP & Inventory Management Systems

  • System Proficiency: Proven ability to navigate Enterprise Resource Planning (ERP) software (e.g., eAutomate, SAP, Oracle, Microsoft Dynamics, or NetSuite) to perform receiving, put-away, and inventory adjustments.
  • Transaction Accuracy: Capability to match physical packing slips to digital purchase orders with 100% accuracy to ensure inventory counts remain synchronized.
  • Data Entry: High speed and accuracy in data entry to record equipment serial numbers, batch codes, and storage locations. 40-50 WPM (Words Per Minute) with 95% accuracy.


Administrative & General Software

  • Microsoft Office Suite:
    • Excel: Basic to intermediate skills (e.g., sorting data, using filters, and basic formulas) for tracking equipment logs or discrepancies.
    • Outlook/Teams: Efficient use of email and communication platforms to coordinate with procurement and logistics teams.


CERTIFICATES, LICENSES, REGISTRATIONS:  Valid PA Driver’s License with ability to be insured.  Will be required to provide proof of current and adequate auto insurance.  Must be able to obtain Medical DOT card for operating commercial vehicle.

  • Requires walking, primarily on a level surface, for periodic periods throughout the day.
  • Manual dexterity sufficient to reach/handle items, works with the fingers, and perceive attributes of objects and materials required. Will be required to use desktop computer, operate vehicle
  • Regularly lift 50 lbs. and occasionally have the ability to lift overo 50 lbs.
  • Frequent travel by car is required.

  • The work environment and noise level in the work environment is usually typical of an office environment; climate controlled, usually quiet; private office.  However, because Field Service Managers will work on-site at client locations and may be exposed to different work environments.
  • Exposure to outdoors and variable weather conditions is likely as regular travel by car is required.
  • Physical Activity Level: Moderate / somewhat strenuous daily activities of a primarily product/technical nature.

WORK SCHEDULE:

Typically work hours and days assigned: 40 hours per week, generally 5 work days - Monday through Friday with hours between 7am and 4pm.
