The Facilities Manager will report to the Facilities Lead and is responsible for providing support to ensure facilities services are provided in an effective and efficient manner, as well as being the initial point of contact for the Facilities department. This person must also always demonstrate a high level of security awareness and have knowledge of emergency evacuation procedures and Health & Safety.
Role Purpose - The Facilities Manager ensures safe, compliant and efficient operations of AstraZeneca facilities, delivering high-quality services and continuous improvement across all FM activities.
Key Responsibilities
- Service delivery and improvement: Ensure end-to-end Facilities Management services are delivered to a high standard, identifying and implementing opportunities to continuously improve quality, efficiency, and user experience.
- Vendor and contract management: Oversee daily performance of all external partners (cleaning, maintenance, catering, horticulture, support staff, pest control), ensuring SLAs and KPIs are met; lead issue resolution and escalation as required.
- Moves, adds, and changes (MAC): Plan and execute office moves and ad hoc workplace projects, coordinating stakeholders, schedules and communications to minimize disruption.
- Administrative support: Support the Facilities Lead and FM team with reporting, documentation, purchase orders, asset records, permits and audit readiness.
- Service coordination: Liaise with service providers (e.g., recycling, waste, courier, mailroom) to ensure regular, reliable and compliant operations.
- Supplier governance: Manage contractors, contracts, and procurement activities as directed, including onboarding, performance reviews, renewals and compliance checks.
- Health, safety, and compliance: Lead general HSE duties, including risk assessments, safety inspections, contractor control, permit-to-work, and compliance with statutory and non-statutory requirements; maintain all records and certifications.
- People leadership: Provide operational direction and day-to-day management for in-house and outsourced teams; set priorities, coach performance and foster a safety-first culture.
- Building management and stakeholder interface: coordination with building management team, managing on ground BMS teams from the builders side and internal stakeholders to meet KPIs, resolve issues and ensure lease and building obligations are fulfilled.
- Budget and cost control: Manage FM budgets, forecasts, and purchase-to-pay processes; track spend, drive value-for-money and support annual planning.
- Statutory compliance: Ensure full statutory and regulatory compliance for the facility (e.g., fire, electrical, lifts, water hygiene, waste, food safety), including timely inspections, remedial actions and documentation.
- Service level management: Monitor performance of in-house and outsourced services against agreed service levels; analyze data and implement corrective actions.
- Repairs and minor works: Plan and deliver minor repairs, retrofits, and refurbishments, ensuring quality, safety, and adherence to AZ standards and change controls.
- Project contribution: Support delivery of facility-related capital investment projects, including M&E upgrades and control/security systems, coordinating with project managers and technical teams.
- IFM vendor oversight: Govern quality and performance of the Integrated Facilities Management (IFM) partner through regular reviews, audits and continuous improvement plans.
- Emergency preparedness: Coordinate emergency procedures and drills; maintain life-safety systems readiness and act as a key member of the incident response team.
- Stakeholder management: Build strong relationships with business leaders and occupants; run regular communications, service reviews, and feedback loops to drive customer satisfaction.
- Events management and coordination: Plan and coordinate onsite events, town halls, trainings and executive visits, ensuring venue readiness, room setups, AV support, security, catering, housekeeping, signage, and post-event debriefs; manage event calendars and liaise with stakeholders/HR.
- Audits – Manage internal and external audits.
Preferred Qualifications and Skills
- Experience: Proven track record in Facilities Management within corporate, pharma, or regulated environments; experience managing vendors and budgets.
- Knowledge: Strong understanding of FM operations, statutory compliance, and building services (M&E, BMS, fire, security).
- Skills: Excellent stakeholder management, problem-solving, and communication skills; data-driven approach to performance and cost management.
