JOB STATEMENT:

The Portfolio Associate will support a range of client reporting functions and provide administrative and operational assistance to four client portfolio managers in Calgary, as well as to multiple external advisors. In this role, the Portfolio Associate will collaborate closely with Portfolio Analysts, Portfolio Administrators, and the broader Calgary team to ensure smooth delivery of client service and reporting activities.


ESSENTIAL FUNCTIONS:

  • Providing the day-to-day administration support;
  • Collaborate with fellow Portfolio Associates to ensure timely completion of tasks for Client Portfolio Managers and Referral Advisors;
  • Prepare and process GCA and custodian documentation, including new account applications, client agreements, change requests, re‑documentation, and account transfers;
  • Manage and administer the existing book of business on behalf of the Client Portfolio Managers.
  • Maintain accurate, complete, and up‑to‑date client information within the CRM system;
  • Coordinate with operations teams and custodians to follow up and ensure smooth completion of the new account process;
  • Preparing regular reports and client presentations to assist Client Portfolio Managers;
  • Process financial transactions such as cheques, EFTs, client withdrawals, journals, and charitable donations;
  • Preparing and distributing quarterly statements and year-end tax reporting packages;
  • Reviewing tax installments, scheduled contributions/withdrawals, RIF/LIF payments, RESP grants, and management fees; and
  • Fulfilling ad-hoc requests from Client Portfolio Managers and referring advisors; and
  • Assisting in other client administration tasks that may be required.


QUALIFICATIONS:

  • University degree, preferably in business, finance or economics
  • 3+ years of investment administration experience, especially dealing with clients and referring agents preferred
  • Advanced skills and experience with Salesforce preferred
  • Successful completion of the Canadian Securities Course preferred
  • Proven ability to manage your own work load and facilitate task management amongst a team
  • Impeccable time-management and interpersonal skills, and the ability to consistently meet deadlines
  • Strong client support experience to the level where you can anticipate client needs and requirements
  • Ability to show initiative and problem-solve
  • Ability to multi-task and maintain confidentiality
  • Ability to work independently as well as within a team environment
  • Continuous desire to develop one's self
  • Excellent written and verbal communication skills
  • Excellent knowledge of Microsoft Word, Excel and Powerpoint
