We are currently seeking an experienced Litigation Legal Assistant to support a legal team in a fast‑paced, professional environment. This role is ideal for a highly organized, detail‑oriented professional who thrives under pressure and takes pride in delivering high‑quality administrative and litigation support. You will play a key role in managing litigation files from start to finish, coordinating with courts and external stakeholders, and ensuring deadlines, documentation, and filings are handled with precision and discretion. File Management
- Open, organize, and close litigation files internally.
- Manage document filing system in accordance with lawyers’ directions.
- Prepare and update internal litigation tracking spreadsheets and internal reporting requirements.
Document Preparation and Formatting
- Prepare, transcribe, edit, format and finalize correspondence, letters, court forms, emails, pleadings, undertakings charts and other materials in accordance with lawyers’ directions.
- Assist lawyers in compiling and finalizing affidavits of documents, exhibits, books of authorities, factum, mediation/arbitration/pre-trial briefs, hearing binders and other materials in accordance with lawyers’ directions.
- Proofread and perform linguistic and formatting corrections.
Service and Filing
- Prepare and transmit service and notification of documents in accordance with the applicable rules of the jurisdiction.
- File pleadings and documents electronically or physically with the court registry.
- Communicate with courts and tribunals regarding litigation-related inquiries.
- Coordinate with process servers and other stakeholders for document transmission.
Deadline and Calendar Management
- Manage lawyers’ calendars, including scheduling and monitoring court deadlines, due dates, appointments, and client-related activities.
- Schedule and track hearing dates and coordinate with internal divisions and witnesses.
Coordination and Communication
- Organize client meetings, mediations, out-of-court examinations, arbitrations and other attendances as necessary.
- Communicate with clients and external parties (opposing counsel and their support staff, arbitrators, mediators, experts, stenographers, process servers, court registry, etc.).
- Arrange for the signature of documents. Research and coordinate external services required for litigation files.
- Answer and direct phone calls within the legal team.
Payments
- Receive, code, and forward invoices for approval.
- Coordinate with the accounting departments.
- Monitor payments and manage expense tracking related to files.
- Process online payments and ensure follow-up.
Requirements
- 5+ years of relevant experience
- DEP and vocational training or technical college diploma
- Excellent proficiency with office software tools (Word, Excel, Outlook, Acrobat/Adobe).
- Knowledge of court procedures (Ontario and Quebec) and legal terminology (an asset).
- Strong attention to details, organizational skills, and ability to manage priorities.
- Ability to work under pressure and meet tight deadlines.
- Strong spelling, grammar, proofreading skills.
- Fully bilingual, both spoken and written (English and French).
- High level of discretion
