The Sales and Client Intake Coordinator is the first point of contact for potential clients and plays a vital role in evaluating leads, converting inquiries into consultations or signed clients, and assisting the legal team with administrative tasks. This role demands outstanding communication skills, meticulous attention to detail, and adherence to firm policies and procedures. Key Responsibilities Generate leads and facilitate growth through various marketing channels and referral partnerships. Evaluate case details and schedule consultations to turn inquiries into retained clients. Respond promptly and professionally to inbound calls, emails, online inquiries, and referrals. Conduct initial client screenings to assess case type, eligibility, and next steps. Accurately collect essential client information and input it into the firm's CRM/case management system. Schedule consultations, follow up with prospective clients, and maintain ongoing communication. Convert qualified leads into clients by effectively explaining the firm's services and value proposition. Monitor intake metrics, call logs, and follow-up tasks to ensure timely lead progression. Sales & Conversion Support Utilize strong client service and persuasive communication to assist prospective clients in moving forward. Identify client needs and recommend appropriate services offered by the firm. Achieve monthly conversion goals and productivity benchmarks. Track sales performance and participate in regular intake review meetings. Legal Assistant & Administrative Support Help open new client files, including preparing engagement agreements and ensuring signatures. Collect necessary documentation from clients (IDs, records, forms, etc.). Draft simple correspondence, memos, and intake-related legal documents as directed by attorneys. Organize electronic files to ensure compliance with firm procedures. Support attorneys with administrative tasks such as scheduling, case updates, and client communication. Compliance & Professionalism Uphold confidentiality and safeguard client information per ethical and legal standards. Follow firm hierarchies, workflow processes, and established systems strictly. Maintain a professional and empathetic tone in all client interactions. Adhere to daily task lists, deadlines, and performance expectations. Required Skills & Qualifications High school diploma required; associate or bachelor's degree preferred. Experience in legal intake, sales, customer service, or law firm administration is highly desirable. Excellent verbal and written communication skills. Strong organizational skills with the ability to multitask in a fast-paced environment. Consistent adherence to procedures, checklists, scripts, and established workflows. Comfortable using CRM systems, case management software, Microsoft Office, and digital communication tools. Remain calm, empathetic, and professional when interacting with clients in crisis. Preferred Qualifications Prior sales and/or client intake experience is highly valued. Experience in a law firm, especially in estate planning, personal injury, criminal defense, or related practice areas is a plus. Bilingual or multilingual abilities. Familiarity with lead management systems (e.g., Actionstep, Lawmatics, etc.).
